GENERAL DESCRIPTION

We are looking for an organized, efficient Accounting Assistant with an eye for detail and high level of accuracy. Accounting assistant can expect to handle communications with vendors, clients, and internal departments, assist with inventory, database, and record maintenance, prepare financial reports, issue checks and making deposits, and generally ensure that the office operations are running smoothly. You should be professional and courteous with strong computer skills and a thorough understanding of accounting and financial principles.

RESPONSIBILITIES

Accounts receivables

· Daily monitoring of collections from all sources, communicate to reservation team member on timely manner to ensure it is correctly and timely Registered in reservation system.

· Bill the sales orders after verifying with the report download from reservation system and ensure sales invoices are all closed.

· Register on-board sales, if any.

Accounts payable

· Prepare PO.

· Register all invoices on timely basis to correct account and maintain accounts payable listing with due dates.

· Prepare payments as per due date through online banking based on the due date on a weekly basis.

· Register the payments into accounting system.

· Email payment voucher to respective suppliers.

Cash management.

· Petty cash management.

· Prepare weekly cash/bank position.

· Support the preparation of monthly cash flow forecast.

Month end closing tasks.

· Monthly reconcile all of Bank and payment gateway accounts and register bank interest and bank charges at the month end.

· Register month end Journal entries for accrual, depreciation, and prepayments.

· Register intercompany Journal entries on timely manner and co-ordinate with subsidiaries to register the corresponding intercompany entries.

· Assist in Intercompany reconciliation at the end of the month.

Others

· Communicate with subsidiaries, banks and suppliers when needed.

· Ensure proper and timely filing of the documents.

· Visit bank if needed.

· Any other adhoc admin duties as required by supervisors/managers.

The Sales Executive Role

• Identify prospective customers and maintain customer network through personal sourcing, leads from existing clients, and events attendance
• Provide quality sales and consultation services for company’s range of homeware products such as water and air purifiers
• Recommend appropriate products based on analyses of customers' needs and technical knowledge of product features
• Sell and arrange for delivery, installation, and after sales services
• Build strong rapport and provide excellent service to customers

Skill Requirements

• Excellent communication and interpersonal skills, with a focus on being sales and customer service orientated
• Positive and willing to learn

• Singaporean, able to work on weekends and public holidays

Estimated Salary: $4000 to $10,000 (including fixed basic pay and variable pay depending on performance)

Responsibilities:

• Assist and report to Director of Finance in all areas relating to finance operation, project, financial reporting, management analysis, consolidation and all treasury related matters.
• Work with team members and stake holders to compile data /information for variance / trend analysis, conduct market research, and consolidate analysis to support decision making.
• Prepare/review materials, input, analysis, reports and presentations for senior management meetings, board meetings, parents’ townhall and other purposes.
• Assist in designing, communicating and implementing new finance / procurement templates and forms to promote the digitalization of internal process wherever required.
• Ensure smooth AP functions by overseeing the AP team to collate, verify and process payments and staff reimbursement within the internal timeframes.
• Streamline AR functions by participating in AR projects, such as formulating new AR related policies, GST migration project and other AR related process.
• Supervise/ carry out the month end and year end closing process, review / prepare journal entries, bank reconciliation and monthly schedules.
• Be the key liaison person for all the school fund raising events, monitor internal approval process, the incoming and the disbursement of donations and keep comprehensive records.
• Prepare and update cash flow forecast, monitor cash positions and manage all bank and investment related matters, such as changes in authorised bank signatories, FD placement/renewal, purchase / disposal of ST investments, repayments/drawdown/ rollover of bank loans, etc.
• Ensure compliance of budget control by preparing/reviewing/monitoring budget vs actual reports, communicating and highlighting issues to all budget holders.
• Ensure compliance with all internal policies and SOPs in the allocated job functions.
• To be actively involved in the change process of School, including but not limited to the reviewing, streamlining, standardizing, and implementing internal controls and processes by achieving a risk vis-à-vis efficiency balanced approach.
• To be part of the project leadership in the assigned IT related projects for Finance/Procurement team to assist system improvement, data migration exercise and implement new process and controls in the new IT system.
• Update knowledge and expertise of changing statutory requirements, accounting standards, tax laws and charity regulations to determine the implications of such changes to financial / management reporting and internal process.
• Ccommunicate effectively with both internal and external parties, keep complete record of meeting discussions and follow up the outstanding matters closely.

Requirements:

• Minimum Degree in Accountancy with at least 6 - 8 years of relevant accounts experiences
• At least 2-4 years of supervisory experiences will be advantageous
