• Ensure smooth and efficient patient flow, from registration to consultation and follow-ups
• Lead and support front-line and back-office staff, including receptionists and administrative personnel
• Oversee management of patient appointments, follow-ups, and record-keeping efficiently
• Address and resolve inquiries, complaints, disputes and issues with patients / external stakeholders with professionalism
• Liaise with external vendors, service providers, and healthcare professionals as needed
• Actively source and strategies to smoothen operational flows and enhance patient experience
• Work with external partners / clients / vendors (e.g. laboratory services) in ensuring accurate billing, and troubleshooting associated disputes
• Ensure proper filing and storage of medical forms, reports, and legal documents
• Maintain and monitor inventory, including medical supplies and clinic equipment
• Manage staff scheduling, assignments, and training to ensure optimal service levels
• Assist in billing processes, insurance claims, corporate invoicing, cash collection, control measures and other financial operations
• Regular checks and audits on claims submission e.g. PMI, CPF, Govt Agencies etc.
• Regular checks and audits on payment collections of credit card, cash, NETS and cheques from patients
• Ensure compliance with healthcare regulations, policies, and procedures
• Monitor clinic performance metrics and develop improvement plans when necessary
• Support management in identifying opportunities for process improvement
• Any other duties as may be assigned by Immediate Supervisor and/or the Management

Qualification & Experience:-

• Min Diploma and above
• Experience in managing outpatient clinic operations and/or experience in GP Setting
• Excellent interpersonal and communication skills
• Excellent organizational, multitasking, and leadership skills
• Proficient in clinic management software, Microsoft Office, and other digital tools
• Ability to work in a fast-paced environment while maintaining attention to detail
• Customer service-oriented with a passion for patient care
• Able to work effectively both independently and as part of a team
• Work Schedules: Mondays to Fridays: 0830hrs to 1730hrs or 0900hrs to 1800hrs (based on roster), Saturdays: 0830 hrs to 1230 hrs

Key Responsibilities:

• Oversee daily import/export operations, including shipment execution, documentation, permits, customer invoicing, and vendor invoices.
• Ensure all processes are completed on time and in compliance with regulations.
• Prepare documents such as sales, shipping, LC negotiation, insurance, and other required paperwork.
• Coordinate with suppliers, customers, shipping/forwarding agencies, insurance companies, and banks.
• Manage inventory and plan deliveries to ensure timely distribution.

Requirement:

• Diploma with Supply Chain related experience
• Knowledge in Incoterms, import/export documents (Not Mandatory)
• Familiarity with shipping and manufacturing procedures (Not Mandatory)
