Job Responsibilities:

• Checking of Next Day’s Arrivals
• Keep one informed of the available rooms for sale and help maximize room sales by up-selling
• Attend to all incoming calls with pleasant and polite manner following the SOPs
• Confirm and process the reservations received from telephone calls accordingly to the established procedures
• Respond promptly and tactfully to guests’ booking requests and inquiries using the set standards, via email or fax immediately
• Input reservations received from OTA (On-line Travel Agent) into the in-house system (PMS)

Overview:

The Scientific Affairs Officer is a key member of the Scientific Affairs team of ARKRAY Singapore. You will report to the Manager of Scientific Affairs in the Singapore office. This role focuses on communication of scientific knowledge on ARKRAY’s medical devices and services to our distributors and customers in selected markets of Asia Pacific. You will also work closely with our Sales team in supporting sales to prospective distributors and customers, as well as maintaining relationships with existing distributors and customers within Asia Pacific. Job Purpose

The IT Support Officer provides Level 1 and Level 2 technical support to ensure the smooth operation of the organisation’s IT systems and services. Key duties include troubleshooting Windows Servers, managing IT support tickets, maintaining IT infrastructure, overseeing IT asset management, and supporting IT and AV needs for events. The Officer will also assist with operations support and perform tasks assigned by the IT Head to ensure the effective delivery of IT services.

Principal Accountabilities

IT Support and Troubleshooting (Level 1 & Level 2)

1. Manage and resolve IT support tickets through the helpdesk system, ensuring timely issue resolution.
2. Provide Level 1 support for end-user devices and escalate complex issues to Level 2 support.
3. Troubleshoot Windows Server issues, including user access, Active Directory, file sharing, and group policies.
4. Diagnose and resolve network connectivity issues, VPN configurations, and firewall settings.
5. Support end-user devices, including desktops, laptops, printers, and mobile devices.

IT Asset Management and Issuance/Clearance

1. Maintain and update the IT asset inventory, including hardware, software licenses, renewals and warranties.
2. Manage IT asset issuance during employee onboarding, ensuring proper setup of devices and accounts.
3. Oversee IT asset clearance during offboarding, ensuring retrieval of devices and revocation of access.
4. Conduct regular IT asset audits to ensure accountability and compliance with security standards.
5. Ensure proper disposal of end-of-life equipment in accordance with security policies.

Maintenance and System Updates

1. Perform preventive maintenance on servers, desktops, laptops, and network devices.
2. Apply Windows Server patches, updates, and security fixes to maintain a secure IT environment.
3. Assist with system upgrades and hardware replacements.

IT and AV Support for Events

1. Provide IT and AV support for meetings, workshops, and conferences, both on-site and virtual.

3. Manage virtual and hybrid meetings using platforms like Zoom, Microsoft Teams, and Google Meet.

Main Responsibilities.

Assist the Chief Accountant to handle full sets of accounts. Ensuring accounting records of AR and AP are maintained accurately, efficiently and timely manner.

Accounts Payable (AP) Related Tasks

1. General Ledger Maintenance:

• Ensure all postings to the hotel’s Sun System general ledgers are supported by properly authorized and documented journal vouchers.

2. Reconciliation:

• Review balance sheet schedules, bank reconciliation statements, and control account reconciliations for month-end closing.
• Cross-check transactions from EPB, Sun Systems etc and journalize monthly summaries for posting.
• Validate or verify accuracy of Inventory reports from different departments such as Housekeeping, F&B etc

3. Fixed Assets Management:

• Ensure hotel’s assets are properly maintained and recorded in the fixed asset register and general ledger.
• Verify depreciation computations and the disposal of fixed assets.

4. Tax and Statutory Reporting (AP Side):

• Ensure all tax returns, such as quarterly GST returns and yearly F1 Cess returns, are prepared and checked on time for Accountant’s verification and submission to FC.

5. Regulations and Procedures:

• Ensure adherence to standard accounting practices and internal control for all payments and expenses.

Accounts Receivable (AR) Related Tasks

1. General Ledger Maintenance:

• Ensure revenue recognition and receivables are accurately recorded and documented in the general ledger.

2. Reconciliation:

• Review revenue-related accounts and ensure receivable balances are reconciled monthly.
• Cross-check monthly transaction from Opera to Sun Systems summaries for receivables posting.

3. Tax and Statutory Reporting (AR Side):

• Assist the Accountant in computing GST/taxes related to revenue by providing details such as revenue analysis.

General Cashiering

1. Cashier Reconciliation:

• Balance the Cash Machine and Float transactions in Opera for each Front Office team member. Ensure Duty Managers sign off on all payouts and deposits received.

2. Transaction Monitoring:

• Track Cash Machine activity, ensuring all withdrawals and deposits are valid.

3. Address Discrepancies:

• Report any cash discrepancies to the Duty Manager, Front Office, Accountant, Financial Controller, and General Manager. Resolve issues within 24 hours.

4. Cash Count:

• Conduct surprise cash counts of floats and the Cash Machine monthly, ideally twice a month with the Accountant or Financial Controller.

5. Cash Limits and Deposits:

• Keep the Cash Machine balance below $20k, including cash floats. Deposit any excess in the bank with a Security Officer present.

6. Record Keeping:

• Save scanned copies of all bank and cash machine slips in the “Banking Matters” folder for audit and records.

General Finance and Administrative Tasks

1. Internal Control:

• Assist in establishing and reviewing procedures for internal controls and accounting systems regularly.

2. Audit:

• Assist in preparation of annual profit and loss, cash flow, trial balance and balance sheet for audit purposes.
• Work with external and internal auditors on the audit of financial statements.
• Collect required audit information, address adjustments, and respond to auditor queries.

The Marketing Executive role is to lead the development of yearly marketing calendar, overview client relation, events organize, manage department budget, promotions, campaign. He or she will be responsible for formulating strategies for in-store events, identifying appropriate partners, driving traffic to stores and building a strong customer database. JOB SCOPE

Having a proven ability to ensure that day to day work is carried out in line the agreed policies and procedures and quality standards.

Job Purpose

The Accounts Executive is responsible in maintaining updated cash book and unpaid Trade Contractor Certificate of Payment Response (TCCP) / invoice log, update invoice receipt into SUN system and all accounts payable functions. The role works closely with other members of the Finance Team, as well as external liaison with Suppliers and Subcontractors.

Key Responsibilities

· Check, verify, and record TCCP into unpaid TCCP log and ensuring they are charged correctly into Projects. Subsequently matching TCCP with invoices received from external suppliers/trade contractors

· Maintain and manage all cash and banking records, logs, spreadsheets, and registers

· Ensure the coordination of the statutory audit of cash, year in year out, and resolve all possible queries

· Preparation and issuance of all payments, cheques, bank transfer, etc.

· Check and verify cash transactions, maintain allowable and reasonable cash float within office

· Post purchase and payment transactions into SUN System

· Reconcile accounts payable balances and resolve invoice discrepancies and issues

· Monthly bank reconciliation and investigate discrepancies

· Monitor unpaid TCCP log and account payable accounts to ensure payments are up to date

· Maintain subcontractor and vendor files in the SUN system, request bank account information and update bank payee master file

· Correspond with vendors and respond to inquiries including payment status

· Update commercial department on TCCP payment status for CVR update

· Prepare trade payable confirmation and reconcile differences for audit

Main Responsibilities.

Assist the Chief Accountant to handle full sets of accounts. Ensuring accounting records of AR and AP are maintained accurately, efficiently and timely manner.

Accounts Payable (AP) Related Tasks

1. General Ledger Maintenance:

• Ensure all postings to the hotel’s Sun System general ledgers are supported by properly authorized and documented journal vouchers.

2. Reconciliation:

• Review balance sheet schedules, bank reconciliation statements, and control account reconciliations for month-end closing.
• Cross-check transactions from EPB, Sun Systems etc and journalize monthly summaries for posting.
• Validate or verify accuracy of Inventory reports from different departments such as Housekeeping, F&B etc

3. Fixed Assets Management:

• Ensure hotel’s assets are properly maintained and recorded in the fixed asset register and general ledger.
• Verify depreciation computations and the disposal of fixed assets.

4. Tax and Statutory Reporting (AP Side):

• Ensure all tax returns, such as quarterly GST returns and yearly F1 Cess returns, are prepared and checked on time for Accountant’s verification and submission to FC.

5. Regulations and Procedures:

• Ensure adherence to standard accounting practices and internal control for all payments and expenses.

Accounts Receivable (AR) Related Tasks

1. General Ledger Maintenance:

• Ensure revenue recognition and receivables are accurately recorded and documented in the general ledger.

2. Reconciliation:

• Review revenue-related accounts and ensure receivable balances are reconciled monthly.
• Cross-check monthly transaction from Opera to Sun Systems summaries for receivables posting.

3. Tax and Statutory Reporting (AR Side):

• Assist the Accountant in computing GST/taxes related to revenue by providing details such as revenue analysis.

General Cashiering

1. Cashier Reconciliation:

• Balance the Cash Machine and Float transactions in Opera for each Front Office team member. Ensure Duty Managers sign off on all payouts and deposits received.

2. Transaction Monitoring:

• Track Cash Machine activity, ensuring all withdrawals and deposits are valid.

3. Address Discrepancies:

• Report any cash discrepancies to the Duty Manager, Front Office, Accountant, Financial Controller, and General Manager. Resolve issues within 24 hours.

4. Cash Count:

• Conduct surprise cash counts of floats and the Cash Machine monthly, ideally twice a month with the Accountant or Financial Controller.

5. Cash Limits and Deposits:

• Keep the Cash Machine balance below $20k, including cash floats. Deposit any excess in the bank with a Security Officer present.

6. Record Keeping:

• Save scanned copies of all bank and cash machine slips in the “Banking Matters” folder for audit and records.

General Finance and Administrative Tasks

1. Internal Control:

• Assist in establishing and reviewing procedures for internal controls and accounting systems regularly.

2. Audit:

• Assist in preparation of annual profit and loss, cash flow, trial balance and balance sheet for audit purposes.
• Work with external and internal auditors on the audit of financial statements.
• Collect required audit information, address adjustments, and respond to auditor queries.
