Job Description

a) General

1. Maintain and update Crewing Calendar factoring projects and in-house needs and crew leave.
2. Support and provide information on Time Off In Lieu (TOIL) entitlement for in-house crew on a monthly basis.
3. Maintain an updated crew database for both in-house and freelancers with positions, grades, job scale, and performance, rate of professional fees, responsiveness, reliability, skills and technical competencies.
4. Any other ad-hoc crewing responsibilities.

b) Project-Related

1. Obtain relevant project information from Sales Department for crewing needs including details such as location of project, crew positions, duration of project, crew rate, and any other additional requirements.
2. Consult project technical manager to identify the crew requirement and skill sets required for each project.
3. Roster project with in-house and freelance crew.
4. For freelancers - Negotiate fees, manage contracts and other documents, and outline expectations and company policies.
5. Arrange and/or coordinate crew logistics including preparation of per diems, visa application, flight, accommodation, transportation, and meals.
6. Plan for crew contingencies for unexpected situations that may jeopardize projects.
7. Supper project crew by playing an active role in all communications related to crew (logistics and crew welfare).
8. Provide replacement crew if a crew member becomes unavailable due to sickness, flight cancellations, etc.
9. Assist in all project closeout activities including evaluation of project performance (from crew perspective), archival of projects, and preparation of close out reports.
10. Incorporate crew performance evaluation reports into crew database.
11. Tabulate and analyse project crew financials (freelancer fees, logistics, Per Diems, etc.) report to Crewing Manager cost over-runs or irregularities.
12. Verify invoices received from freelancers for billing.
13. Assist in reimbursements for projects for in-house crew members.

Requirements

• A qualification in business/economy/finance/HR or any other related area.

• Minimum of 2 years’ experience of working experience in related field.

• Excellent client management and relationship skills

• Excellent organisational, communication, interpersonal and project management skills

• Ability to contribute and multi-task in a high performance and fast-paced environment

• High attention to details

• Negotiation skill

• Expert proficiency in Microsoft Office suite

• A good understanding of mass media and communication (preferably in broadcasting industry)

About the role:

• Promote best practices in managing employee relations
• Implement and update employee relations policies and procedures, ensuring alignment and compliance with the organization’s core values, legal and regulatory requirements.
• Provide advice and partnership as a point of contact in handling employee relations issues including handling employee grievances, complaints, and workplace misconduct.
• Perform work pass application/renewal, confirmation assessment, re-employment/contract renewal, and timely updates of employees' records in HRIS
• Handle operational matters for off-boarding
• Acts as liaison between employees and management to answer questions or concerns regarding company policies, practices, and regulations.
• Provide HR advisory service to employees and stakeholders in all operational related matters and to ensure smooth resolution on HR queries
• Handle and follow up on employee-employer related matters independently
• Handle all government statutory surveys and corppass administrations
• Recommend and implement improvements for HR & Admin processes and procedures to improve productivity and efficiency
• Facilitate HR functions which include Staffing, Compensation and Benefits, Welfare, etc.
• To take on HR improvement projects and other adhoc projects as assigned

About you:

• Bachelor's degree or higher in Human Resources, Business Administration, or a related field
• Experience in handling full spectrum of HR & administrative roles, preferably in marine industry
• Proficient in Microsoft Office
• Familiar with Workday system is an advantage
• Familiar with Singapore Labour Law & Employment Act
• Strong interpersonal skills to maintain positive relationships with employees
• Responsible to follow through work matters consistently
• Self-starter, resourceful and possess a curious nature to dig further to learn new knowledge
• Ability to work independently, prioritize tasks with sense of urgency
• Mature, presentable, stable, and professional with good judgment between employer and employee perspectives.

Key Responsibilities:

• Manage daily accounting operations, including processing transactions, invoicing and maintaining accurate records for multiple F&B outlets.
• Perform month-end and year-end closing activities, ensuring financial reports are prepared on time.
• Reconcile bank statements, supplier accounts, and other financial records to ensure accuracy.
• Assist with preparing financial statements, including balance sheets, profit & loss, and cash flow reports.
• Ensure compliance with local tax laws and industry regulations, supporting internal and external audits as required.
• Monitor and analyse financial data to identify trends, inefficiencies, and opportunities for cost-saving within the F&B business.
• Conduct regular visits to F&B outlets for on-site audits, ensuring that financial practices are aligned with company standards and procedures.
• Collaborate with cross-functional teams, including operations and management, to provide financial insights and recommendations.
• Handle payroll processing and ensure timely payments for staff, suppliers, and contractors.
• Maintain accurate records of inventories, ensuring proper cost control and financial reporting.
• Process supplier payments and manage accounts payable/receivable functions.
• Assist with budgeting, forecasting, and financial planning for various F&B projects and initiatives.
• Prepare and maintain Accounts SOPs (Standard Operating Procedures) to streamline accounting processes, ensuring consistency, accuracy, and adherence to company policies.

Key Requirements:

• Min 2 years proven experience as an Accounts Executive or in a similar role within the Food & Beverage (F&B) industry.
• Proficiency in Xero accounting software is a must.
• Solid understanding of accounting principles, financial regulations and tax compliance.
• Strong analytical skills with a keen attention to detail.
• Ability to work under pressure and meet tight deadlines in a fast-paced environment.
• Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
• A proactive approach to problem-solving and continuous process improvement.
• Strong organisational skills with the ability to prioritise tasks effectively.
• Degree in Accounting, Finance, or related field (e.g., ACCA, CPA, or equivalent qualification).
• Previous experience in an F&B setting is a significant advantage.
