· Make overseas travel arrangement.

· Follow the Director out of office for work.

· Updating details or status of prospective and existing outlets in the Outlet Master List.

· Monitoring and keep track of renewal, new and termination lease contract.

· Ensure all activities within the retail mall/commercial spaces are in line with Government and company’s guidelines.

· Managing tenancy related issues, compiling occupancy and rental reports and other related lease management functions.

· Liaising with 3rd party contractors towards renovations, advertising matters, on the grounds inspection for the rented/potential retail space.

· Liaising with mall regarding lease contract terms and rental price, verification of application information, applying permit to work for contractor, and setting up electricity in the outlet.

· Liaising with external third parties (contractors, etc..) to oversee the administrative matters of the outlets.

· Liaising with Starhub officer for network application for different malls.

· On the ground inspection for the rented / potential retail space.

· Inform respective department such as Finance, Operations, and Marketing department regarding the opening of new outlet.

· Reviewing lease documentations and obtaining required boss’s signature.

· Overseeing office maintenance.

· Handling office administrative works, such as filing, and reordering office supplies.

· Any other ad-hoc duties as assigned.

Requirements:

· At least Degree in Business Administration / Management.

· At least 2 years of Personal Assistant’s working experience, prior experience as a manager or director’s PA from China company is advantageous.

· Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).

· Relevant working experience and knowledge in lease management and coordination is an advantageous.

· Knowledge of retail mall operations is advantageous.

· Proficient in both English and Chinese translation.

· Able to travel local and overseas with the Director for work as and when required.

· Devoted to work and do not mind working overtime.

· Able to handle confidential information with discretion.

· Proactive and able to work independently.

· Strong organizational and multitasking skills.

· Detail-oriented with excellent communication and interpersonal skills.

Job Description

• Respond to customer inquiries via phone, email, and other communication channels.

• Prepare and process quotes, and other sales-related paperwork. (Airfreight /

Seafreight / Logistic / CBT).

• Preparing reports on a weekly/or monthly basis.

• Trouble Shooting (Damage Cargo, Billing Issues, etc.) (Airfreight / Seafreight /

Logistic / CBT).

• Coordinate with internal teams such as outdoor sales, operation, finance, and

customer service.

• Work alongside with outdoor sales with generating new business and maintaining

existing customer relationships.

Salary: Up to S$3,800
Working Days & Hours: 5 days (Monday to Friday), 8:30am - 6:00pm

Key Responsibilities:

• Manage full sets of accounts, ensuring accuracy and timeliness.
• Handle day-to-day financial transactions, including accounts payable, accounts receivable, journal adjustments, and ensure adherence to service standards.
• Perform compliance checks on transactions to ensure alignment with relevant regulations.
• Prepare bank reconciliation statements and management reports regularly.
• Assist in audit exercises by preparing audit schedules and facilitating the audit process.
• Monitor and maintain service standards, continuously seeking areas for improvement.
• Provide feedback for SOP reviews and contribute to process enhancement.
• Handle statutory reporting requirements.
• Take on additional duties as assigned by the management.

Requirements:

• Diploma/Degree in Accountancy or equivalent professional qualifications.
• At least 2 years of experience in managing accounts for an organization with IPC status.
• Strong attention to detail, able to work independently with good problem-solving and analytical skills.
• Good understanding of FRS and Charity Accounting Standards.
• Proficiency in written and verbal communication.
• Competent in MS Word and Excel; experience with WorkDay ERP system is a plus.
