· Sales admin Job Description

· Check, reply and follow up on all incoming enquiry mails.

· Check and reply to incoming emails from existing clients.

· Make calls to guests from the leads given and invite them to the venue for site visit.

· Arrange meetings and schedule appointments for the sales managers to meet with new and existing clients.

· Enter database / leads details in the cater master system (sales system)

· Issue sales contracts and ensure all information stated is accurate.

· Issue banquet event orders, obtain and follow up signatories from guests, distribute the duly signed and completed event orders to accounts, kitchen and operation department.

· Hotel bookings - (if any). Liaise with hotel for guests’ hotel bookings.

· Liaise with hotels for car park coupons (venue located in hotel)

· Update the Event Forecast

· Issue Vendor Forms to guests and vendors.

· Prepare Event Signages

· Meetings with guests as and when necessary and required by the sales managers.

· Issue Food Tasting forms.

· Order Money Box and invitation cards for wedding events from vendor.

· Enter all details of payments received from guests in the cater master system and update in group WA.

· Issue Indemnity Form (as and when required and necessary)

· Issue Rental Venue Letters (for landlord’s properties use for events based on ad hoc basis)

· Issue Cater master amendment forms for endorsements to be made in the contracts issued.

· Proposal Analysis reports (for sales meeting)

· Prepare the weekly sales reports.

REQUIREMENTS:

· At least GCE-O Level or ITE

· Preferably 2 years of sales admin working experience in a F&B, Retail, Wholesale, Consumer goods.

· Demonstrable knowledge in Sales Admin.

· Attention to detail and ability to work independently.

· Have a strong sense of responsibility and ability to manage internal and external confidential information with utmost discretion.

· Highly organised and meticulous and able to follow through on tasks from start to completion.

Roles & Responsibilities

· Managing all aspects of financials of a restaurant industry

· Ongoing daily book-keeping

· Invoices, Payroll, Profit/Loss statements

· Prepare GST, Returns, etc.,

· Tax Planning

· Liaison with clients

· Ability to effectively negotiate prices with purchasers/support services.

· Accounts Payable and Accounts Receivable

· Facilitating Payroll / Scheduling employees

· Issuing invoices to customers and tracking accounts receivable

· Maintaining financial records and preparing documents for annual statements

· Tracking accounts payable and paying suppliers

· Daily, monthly, weekly financial reports, etc.

· Develop strategies for costs savings initiatives and continued business financial success.

· Performs other duties as assigned. Such as providing and explaining financial reports as required to management in a timely manner every week & month.

· Any other relevant duties pertaining to this role.

REQUIREMENTS:

· Diploma/Degree in Business or Accounting

· At least 5 years of progressive working experience in a (F&B, Retail, Wholesale, Consumer goods,) group with proven management accounting expertise.

· Demonstrable knowledge of financial reporting standards and regulations.

· Sharp analytical skills, attention to detail and ability to work independently.

· Have a strong sense of responsibility and ability to manage internal and external confidential information with utmost discretion.

· Highly organised and meticulous and able to follow through on tasks from start to completion.

Responsibilities:

• Collaboration in space planning assignments, conceptual and schematic design, design development, design documentation and construction site supervision for design implementation.
• Plan, schedule and run design activities to meet the project programme.
• Preparation of communicative presentations (in pptx or other media).
• Preparation of coherent sets of design-focused tender drawings.
• Coordination with consultants, vendors, contractors, fabricators, regulatory agencies and other collaborators to meet overall project objectives.
• Ensure all designs meet with local regulatory compliance requirements.
• Review of shop drawings submittals and finish samples.
• Conducting site observations to monitor construction progress and to ensure that planning and design intent are fully realised at site.
• Contribution to refinement of office design processes.
• Manage client/ consultant stakeholders and engage in design meetings to drive project progress and resolve issues.

Requirements

• Singaporean or Singapore PR Only.
• Bachelor or Master Degree in Architecture or Interior Design.
• 5+ years of experience in the design industry.
• Experienced in Healthcare, Laboratory, Nursing homes, Special needs facilities and workplace preferred but not necessary. However, interest and willingness to learn is a must.
• Excel in 3D modelling, visualization, and graphic software; Revit skillset is strongly preferred. (Others include acad, Sketch-up, Enscape, adobe and Microsoft suites).
• Effective verbal and written communication skills.
• Enthusiastic individuals with good team spirit.
• Positive working attitude, able to work under pressure and meet target, responsible, highly motivated.
• Ability to work independently without supervision.
• Experienced in conceptual design, schematic design, design development and design/tender documentation.
• Have a keen desire to produce good and aesthetic designs. A good eye for good aesthetics is a plus.
• Familiar with local codes and building practices is preferred, but not necessary.
