Job Summary:
We are seeking a proactive and detail-oriented Finance Executive to support our financial operations and ensure accuracy in financial reporting. This role involves assisting with accounts payable functions, coordinating audit activities, overseeing cash management processes, and maintaining effective communication with vendors and customers. Reports To: Accountant

Key Responsibilities:

• Save and organize accounts payable (AP) invoices in the GST folder for review, ensuring compliance with regulatory standards.
• Accurately post AP invoices in the financial system to maintain up-to-date records.
• Create and maintain vendor profiles based on Business Partner (BP) forms, ensuring all necessary documentation is collected.
• Assist in audit confirmation processes for customers, preparing required documentation and reporting requirements.
• Manage cash advances/petty cash transactions, ensuring proper documentation and adherence to company policies.
• Update accounts receivable (AR) receipts in the Globe 3 system daily and follow up with relevant stakeholders on accounts receivable to ensure accurate and timely collections.
• Prepare and present weekly bank opening balances, ensuring all transactions are accurately reflected.
• Generate weekly reports on receipts and outstanding accounts receivable, providing insights into cash flow and financial status.
• Book goods receipts into the financial system, ensuring that inventory records are accurately maintained.
• Monitor telecommunications expenses, ensuring accurate billing and identifying opportunities for cost savings.
• Implement controls to manage telecommunication usage effectively.
• Carry out any other tasks as reasonably requested by the Management.

Job Requirements:

• Degree in Finance, Accounting, or a related field.
• Relevant experience in finance or accounting roles
• Proficient in financial software, preferably Globe 3 ERP system.
• Strong communication and interpersonal skills.
• Detail-oriented with a high degree of accuracy in work.

We are seeking a skilled Assistant Manager in Financial Reporting to join our team. The ideal candidate will be responsible for performing a range of financial reporting tasks, including, and not limited to, day-to-day budget operations, month-end and year-end closing activities, budget utilisation, accounts reconciliation, and audit schedule review. Additionally, this role involves business partnering with various Schools and Department and preparing financials to management.

Responsibilities: -

· Manage daily budget operations

· Liaise with internal and/or external stakeholders on budget operation matters and financial reporting

· Prepare statutory submissions or attend to requests from government agencies as necessary

· Prepare financial and management reports

· Possess analytical skills and able to problem solve work issues across functional areas independently

Ability to identify opportunities for process improvements

· Ensure adherence to internal controls and compliance with policies, and accounting standards.

· Undertake other ad-hoc projects or duties as assigned.

Requirements: -

· Qualification in Accountancy or its related disciplines, with at least 6 years of relevant experience in financial and/or management reporting

· Ability to collaborate effectively with internal and external teams

· Good written and oral communication skills

· Good analytical and critical thinking abilities

· Independent team player who is organised, confident and adaptable to changing environment

· Proficient skills in Microsoft Word, Excel, and PowerPoint

Working closely with the management team, you will develop and implement financial strategies, as well as provide financial insights and analysis for them to make informed business decisions. Qualifications and Experience

4. Experience in healthcare industry, preferably with broad understanding of healthcare business processes like patient administration, patient accounting, and bed management processes will be an added plus

Expectations of an Assistant Finance Manager

• Perform monthly, quarterly, annual financial close with high accuracy and timeliness
• Ensure that all management reports submitted within deadline. Monthly, quarterly and yearly reporting to be carried out with insightful analysis and developing process to ensure quality reporting variances to be fully explained
• Assist in forecasting and budgeting cycles, ensuring that the numbers are reliable, stable and accurate.
• Strong partnership with the commercial finance team on the full spectrum of financial planning and analysis.
• Working with internal and external auditors, ensuring policies compliance in place.
• Manage internal reporting requirements on various basis.

Job Summary:

Key Responsibilities

1. Payments Cycle

· Responsible for processing of all invoices and payments (to vendors, staffs, parents, etc) and ensuring that correct expenses are paid accurately and promptly to the correct payees within stipulated guidelines.

· Perform vendor checks/updates and bank accounts verifications to ensure payments are made to valid recipients.

· Ensure that all payments are made in accordance to the school internal policies and also in accordance to approving authority.

· Process all cash and credit card transactions, including follow up on receipts and schedules.

· Ensure that GST are accounted correctly and expenses are recorded in correct accounts and budget codes.

· Liaise and communicate with vendors, staff etc on payment related, accounting and other queries.

· Perform statements of accounts reconciliations and follow up on queries and timely resolution of discrepancies.

2. Fixed Assets

· Responsible for accurate recording of assets and maintaining of the fixed assets register, including tagging, sighting and depreciation run.

· Responsible for fixed assets disposal including liaising with end-users on procedures & form, witnessing disposal and update asset register.

· Responsible for depreciation run and relevant fixed asset schedules, reconciliation and analysis.

3. Financial Reporting, General Ledger, Budget, Tax and other Statutory Requirements

· Prepare relevant journals, schedules and reports for accounts closing.

· Prepare monthly division report, Fixed asset report, trip and activities reports among others.

· Prepare Bank & other reconciliations and analysis of accounts for monthly, termly and yearly closing.

· Assist in year-end, financial budget, internal & external audits.

· Attend queries from budget holders/ teachers on accounting treatments, payments and others.

· Assist in preparing quarterly GST reporting and statistics for Government departments.

4. Fixed deposit and monitoring of cash flows

· Liaise with banks and prepare the necessary documents for placement, rollover and withdrawal of fixed deposits.

· Performing analysis and monitor cashflows requirement.

· Assist in treasuries and other ad-hoc bank matters.

5. Others

· Assist in any other accounting, budgeting & accounts payable matters, ad-hoc analysis/ reports and projects as assigned.

· Liaise with external parties and other departments in connection with the accounting and financial matters of the school.

· Be responsible for reporting any concerns about a child to the Designated Safeguarding Lead.
