Job Description: Finance and Operations Executive (SIAS)

Job Summary:
The Finance and Operations Executive will play a critical role in managing the financial and operational processes of the Seafood Industries Association Singapore (SIAS). This role involves overseeing bookkeeping, tracking expenses and revenue, and ensuring compliance with financial regulations. Additionally, the Executive will support administrative tasks and assist in planning and executing member events. Working closely with the Executive Director and other team members, the Finance and Operations Executive will contribute to the smooth operation and growth of the association. This role offers a chance to grow with the association, taking ownership of critical processes while contributing to impactful events and initiatives.
Key Responsibilities:
Finance and Bookkeeping Responsibilities:
• Manage and maintain a full set of accounts, including monthly closing, P&L preparation, and financial reporting.
• Oversee accounts receivable and accounts payable (AR/AP) processes, ensuring timely payments and collections.
• Prepare and submit claims for government subsidies and grants (e.g., Enterprise Singapore), ensuring accurate and timely documentation.
• Track and document all expenses, payments, and revenue (including membership and event income).
• Reconcile bank statements and ensure proper financial documentation and compliance.
• Maintain accurate records and support the transition to improved accounting systems.
Operations and Administrative Responsibilities:
• Handle recurring payments, including office rental, utilities, and subscriptions.
• Liaise with vendors and suppliers to ensure smooth operations and timely billing.
• Organize and maintain records for administrative, financial, and operational activities.
• Support day-to-day office operations to ensure efficiency and smooth workflows.
• Perform other ad-hoc administrative tasks as required.
Event Support Responsibilities:
• Assist in the planning and execution of SIAS events, including workshops, trade shows, trade missions, and recreational activities.
• Manage event logistics, including vendor coordination, RSVPs, and on-site support.
• Collaborate with the Events and Marketing Manager to ensure the successful delivery of projects.
• Help track event budgets and payments, ensuring timely invoicing and collection of event-related fees.
• Gather and analyse event feedback to improve future initiatives.

Qualifications:
• Diploma or Degree in Accounting, Finance, Business Administration, or a related field.
• 2–3 years of relevant experience in finance or bookkeeping roles.
• Familiarity with accounting software (e.g., Xero, QuickBooks) and strong proficiency in Microsoft Excel.
• Excellent organizational and multitasking skills, with a keen eye for detail.
• Strong communication and interpersonal skills, with the ability to collaborate across teams.
• Ability to work under tight deadlines and handle multiple priorities.
