Key Responsibilities:

As a Finance Intern, you will support various tasks within the Finance Department, including:

Accounts Receivable Support:

• Assist in the billing process, including the issuance of invoices to customers.
• Help track and manage customer payments throughout the billing cycle.
• Assist with the reconciliation of invoices and incoming cash received.
• Support in managing cheque payments, including filing and documentation.

Accounts Payable Support:

• Assist in processing supplier invoices, including checking and verifying documents.
• Help prepare payments to suppliers and stakeholders for goods and services rendered.

Other Finance Tasks:

• Support bank reconciliation activities.
• Assist in month-end closing processes.
• Communicate with vendors and clients via email, phone, or in-person as needed.
• Perform filing and administrative tasks related to accounts receivable and payable processes.
• Help with internal control reviews, implementation, and execution.
• Assist in fact-checking and resolving discrepancies.

Prerequisites:

• Currently pursuing or recently completed a diploma/degree in accounting, finance, business studies, or related field. (Fresh graduates are welcome!)
• Strong attention to detail and a diligent work ethic.
• Excellent communication skills.
• A team player with a positive attitude and willingness to learn.
• Strong problem-solving skills with a proactive, can-do attitude.
• Highly motivated and driven to produce results and meet deadlines.
• Competent in Microsoft Office (Word, Excel, PowerPoint, Outlook). Knowledge of Xero and Power BI is a plus.

The Marketing Executive role is to lead the development of yearly marketing calendar, overview client relation, events organize, manage department budget, promotions, campaign. He or she will be responsible for formulating strategies for in-store events, identifying appropriate partners, driving traffic to stores and building a strong customer database. This individual will also be a key contributor to the success of seamless execution of all marketing initiatives with the objective of driving traffic to stores, building and elevating the brand.

JOB REQUIREMENTS

· Preferably possessed a Bachelor Degree or equivalent.

· Minimum 3 years of relevant experience

· Experience in fashion and retail industry will be more advantage

· Fluent in English and Chinese, which includes the ability to read and write

JOB SCOPE

• Find new vendor, evaluate vendors, negotiate contracts and prepare PO
• Maintain list of approved vendors
• Compare and evaluate offers from suppliers
• Negotiate contract terms and pricing
• Analyse ordering patten/frequency, monitor stock level and place orders as needed
• Ensure optional stock levels and products’ quality
• Track orders and ensure timely delivery
• Ensure goods received in term name, type, quantity, pricing and date of delivery are accurately recorded in the system
• Maintain procurement listing and keep track of outstanding PO
• Ensure inventory records are correct and identify slow moving stock (if any)
• Manage transfer of goods among clinics
• Check stock out is correctly recorded
• Maintain good relationships with key suppliers to ensure merchandise with high quality and timely delivery
• Assist with ad-hoc tasks and projects as assigned by management, demonstrating flexibility and adaptability.

REQUIREMENTS

· Proven work experience as a Purchasing Officer, Purchasing Agent or similar role in retail or healthcare industry.

· Good knowledge of vendor sourcing practices (researching, evaluating and liaising with vendors)

· Hands-on experience with purchasing software

· Understanding of supply chain procedures

· Solid analytical skills, with the ability to create financial reports and conduct cost analyses

· Negotiation skills

Candidate Profile

An experienced and mature Accounts Executive with commitment, determination and proven records of working in a busy Finance department providing essential support to the Finance Team. Possessing excellent numerical & data entry skills along with a comprehensive understanding of commercial, administrative and accounting procedures. Having a proven ability to ensure that day to day work is carried out in line the agreed policies and procedures and quality standards.

Job Purpose

The Accounts Executive is responsible in maintaining updated cash book and unpaid Trade Contractor Certificate of Payment Response (TCCP) / invoice log, update invoice receipt into SUN system and all accounts payable functions. The role works closely with other members of the Finance Team, as well as external liaison with Suppliers and Subcontractors.

Key Responsibilities

· Check, verify, and record TCCP into unpaid TCCP log and ensuring they are charged correctly into Projects. Subsequently matching TCCP with invoices received from external suppliers/trade contractors

· Maintain and manage all cash and banking records, logs, spreadsheets, and registers

· Ensure the coordination of the statutory audit of cash, year in year out, and resolve all possible queries

· Preparation and issuance of all payments, cheques, bank transfer, etc.

· Check and verify cash transactions, maintain allowable and reasonable cash float within office

· Post purchase and payment transactions into SUN System

· Reconcile accounts payable balances and resolve invoice discrepancies and issues

· Monthly bank reconciliation and investigate discrepancies

· Monitor unpaid TCCP log and account payable accounts to ensure payments are up to date

· Maintain subcontractor and vendor files in the SUN system, request bank account information and update bank payee master file

· Correspond with vendors and respond to inquiries including payment status

· Update commercial department on TCCP payment status for CVR update

· Prepare trade payable confirmation and reconcile differences for audit

· Assist with month end closing

· Provide supporting documentation for audits
