The Finance Executive supports the Finance department in carrying out the responsibilities of the department. He/She is involved in work that is specific to accounts receivable, accounts payable, data compilation, billing, or other account/finance tasks. This person may also assist with the preparation of basic financial statements and simple consolidated financial statements. He/She may be called on to participate in ad-hoc finance-related projects and systems testing when necessary.

Job Description

• Monitor and control business performance by comparison of actual results versus budget on a continuous basis and propose area for improvement.
• Liaise with store manager and support the brand based on analytical of timely and accurate financial information and provide recommendation for further improvement.
• Achieve cost savings and identify deviations from project plan by managing all cost control/reporting systems and procedures.
• To take full responsibility for timely, accurate, and appropriate management information, including preparation of a monthly management financial report with support Management Decision Making such as Pacesetter Report.
• Manage full sets of accounts for entities assigned, including AR, AP and GL functions and responsible for day-to-day transactions, month end reporting, cash flow management.
• Assist in the preparation of monthly/ quarterly/ yearly financial management reports, forecasts, account schedules, audit, tax schedules, balance sheet reconciliations and GST returns.
• Ensure timely and proper review of supporting documents during payment process.
• Ensure internal audit achieves a satisfactory result and all internal audit findings are follow-up and resolved on a timely basis.
• Processing of payments to suppliers and vendors
• Preparation and maintenance of fixed assets
• Perform, maintain, and balance monthly reconciliation of bank accounts.

Job Requirements

The Executive is responsible for ensuring completeness of daily reconciliation of receipts from all outlets as well as performing closing activities and preparation of full set accounts for subsidiaries. This role will also be working closely with Accountant to support period closing accounting duties for Poh Heng Jewellery.

Financial Accounting:

• Perform journal entries for financial accounting.
• Prepare full sets of accounts for subsidiaries.
  Conduct monthly reporting for subsidiaries.

Reconciliation:

• Daily reconciliation of receipts with the Daily Operation summary, bank statements, and credit card statements for both retail and online platforms.
• Monthly reconciliations for mobile payments and credit cards, including MDR computations.
  

Auditing and Schedules:

• Responsible for the GTO audit at year-end.
• Prepare accounts receivable-related balance sheet schedules.
  

Invoice Management:

• Create rental invoices for tenants, managing the end-to-end process.
• Maintain a tracking sheet for rental income.
• Generate invoices and debit notes as needed for customer service.
  

Communication:

• Act as the main point of contact for the retail team.

GST Preparation:

• Prepare quarterly GST submissions for subsidiaries for Accountant review.

Banking Operations:

• Oversee the end-to-end banking process for retail outlets, including credit card terminals and ATM cards.

Support Responsibilities:

• Provide backup for Non-Trade Accounts Payable and collaborate with finance associate.

Perform any other ad-hoc duties as assigned.

Job Responsibilities

• To ensure operational effectiveness and efficiency within reconciliation and to alert management to any control weakness and appropriate actions required on a timely basis.

Requirements

1. Responsible for managing Accounts Receivables (AR) & Management Information System (MIS).

2. Lead and oversee the day-to-day operations related to Accounts Receivable and MIS.

3. Conduct a monthly review of AR accounts with other teams.

Qualification & Work Experience

Job Responsibilities :

· Oversee daily trade operations, including the issuance and amendment of LCs, confirmation of documents, and monitoring payment due dates.

· To prepare ELC draft as per contract and ensure compliance with internal requirements.
