The Assistant Front Office Manager leads the Guest Services team and takes key responsibility for the guest experience aspect of the Hotel. You will be accountable for the Guest Services team’s execution of consistent Holiday Inn Express Guest Experience. You will ensure that all procedures and operations for the Guest Services team will be in line with brand standards, employee welfare and guest experience.

Duties and Responsibilities

Financial Returns:

· Preparation of the annual departmental operating budget.

· Monitor budget and control expenses with a focus on increasing productivity.

· Responsible for Front Office inventory, managing cost and usage.

· Analyze financials to drive revenues, future profitability, and maximum return on investment.

· Assist with third party vendor induction and support in managing the performance of third party vendors

People:

· Provide mentoring, coaching and regular feedback to help manage conflicts and improve Guest Services Team performance and engagement.

· Ensure all team members are accurately trained and have the job related tools and equipment required.

· Promote “one team approach” and quality service through daily communication and coordination and drive employee engagement.

· Develop programs that drive improvements in employee engagement and are aligned with the Stay Real Be You brand service behaviors.

· Develop, implement and monitor team member succession planning to ensure future bench strength for Holiday Inn Express brand.

· Establish performance and development goals for team members and provide mentoring, coaching and regular feedback to enhance performance.

· Responsible for Guest Services Team training and rostering

Guest Experience:

· Custodian of the guest satisfaction goals including Guest Love, Loyalty Recognition and Problem Resolution. Collaborate with team members to establish and implement services and programs to constantly improve guest experience.

· Advise employees of development needs and instruct on action plans. Provide retraining as needed.

· Make time to interact with guests, solicit feedback and build relationships.

· Lead a team to respond to guest complaints, special requests and ensure corrective action is taken to achieve complete guest satisfaction.

· Understand and respond to customer’s needs and ensure a high level of guest satisfaction.

Responsible Business:

· Maintain and order Front Office supplies and equipment in a timely and efficient manner while minimizing waste and maintaining “green” initiatives (example: container recycling, and cleaning agents).

· Accountable for IHG fire life safety (FLS) adherence in the hotel.

· Responsible for the security of lost and found items throughout the hotel.

· Ensure a safe and secure environment for guests, team members and hotel assets in compliance with hotel or owner policies and procedures and regulatory requirements.

· Develop and carry out action plans to be environmentally conscious, take steps to reduce the hotel’s carbon footprint.

· Educate and train team members in compliance with federal, state and local laws and safety regulations.

Accountability

Job Description & Responsibilities:

To assist the Front Office Manager in ensuring smooth operation of the Front Office. To be responsible in directing, coordinating, and monitoring the overall Front Office operation as directed by the Front Office Manager to meet the service standards of the Hotel. To direct the Front Office operation in the absence of the Front Office Manager. To assist the Front Office Manager in personnel development in order to have trained and qualified staff to consistently maintain and increase the Hotel’s service.

• Assist the Front Office Manager in setting up the Front Office training tools such as job descriptions, standards and procedures, and training plans as a guideline for the Front Office operation.
• Assist the Front Office Manager to select, hire, and train employees to meet the hotel's standard of service.
• To assist Front Office Manager in supervising, organising, directing and coordinating the staff and activities of the Front Office.
• To have Front Office managerial presence felt behind the Reception counter; ensure that Front Office Employees perform their daily duties according to required standards.
• Emphasis will be on the assignment of rooms for all arrivals, and this includes the training of the Guest Relations Executives in this aspect of the job.
• Check and ensure that consistency in the service for guest is maintained from the reservation stages to the final departure.
• To plan and prepare work schedules for Duty Manager and Front Desk personnel.
• Authorise the acceptance of traveller cheques, cash advance, rebates, paid out, refunds on the basis of established procedures.
• Monitor and control guest's credit status to ensure that payment is collectable and received on time. Perform a regular follow up for pending payments to ensure that they are collected.
• To coordinate with security in the investigation of irregularities and undesirable guests.
• Monitor and control the rooms’ situation in connection with reservations, daily occupancy and rooms’ availability to ensure maximum revenue through effective yield management.
• Attend department heads meeting in the absence of the Front Office Manager or other meetings as required.
• Be familiar with all Accounting Standards and Procedures pertaining to rooms revenue and advise staff concerned to adhere to them in daily operations.
• Know all procedures in case of emergency or fire and make sure that staff are periodically trained to face this situation and know their function according to the procedures.
• Participate in the inspection and checking the preparation for VIPs and ensure that they will receive proper treatment as VIP during their stay with the hotel.
• Keep updating with new Standards, Procedures and other information and advise Front Office section heads accordingly.

JOB SCOPE

The Front Office Executive will assist the Front Office Manager to ensure the smooth operations of the Front Office Department.

JOB RESPONSIBILITIES

1. Supervise the Guest Service Agent, Communications Officers, Cashiers and Bellman to ensure smooth running of the Front Desk.

2. Provide excellent guest services to all guests making their enquiries at the Front Office counters.

3. Escort VIP guests to their rooms and show them the amenities within the rooms.

4. Ensure that the availability of rooms are closely monitored to make the needs of the operations.

5. Assists all guests in their checking in and checking out registration and make them feel comfortable at all times.

• Arrange for the Bellhop’s services to assists with guest’s luggage.

3. CASH FLOAT

• Ensures that the amount of cash float is checked and tallied daily after shift handover.

4. NIGHT DUTIES

• Ensure room rate reflected tallies with correspondence.
• Prepares and print necessary reports.
• Ensure settlement of all 3rd Party TA accounts on a daily basis.
• Ensure settlement of Long Term Guest bills on a monthly basis.
• Ensure necessary discount or adjustment for Long Term Guests are applied.
• Bring forward all No-Show bookings in accordance to hotel guidelines.
• No Show reservations are to be highlighted to Room Reservations Team.
• Ensure to send message reminder to guest with High Balance/Credit Limit.

5. CLOSING SHIFT

• Reconciles Cashier totals with the Opera Cashier Shift Closing for Cash Payment, Credit Card and E-Payment.
• Ensure necessary supporting documents and vouchers are submitted and tallies before submission to Finance AR Team.

6. OTHERS

• Ensure weekly stock order when stock par reach minimum.
• Ensure daily task completed and or otherwise handover to the next shift.
• Respond to telephone and in-person inquiries, and any other duties Management.
