POSITION OVERVIEW:

As a Human Resources Manager, you will be responsible for overseeing a wide range of HR functions, ensuring the smooth and effective management of personnel processes and compliance with regulatory standards. KEY RESPONSIBILITIES:

Recruitment:

• Maintain sufficient and efficient staffing.

Performance Management:

• Continuously review and improve existing forms, including interview forms, onboarding forms, and appraisal forms.

Employee Engagement:

• Organise activities for staff gatherings/events to foster a positive and engaging workplace culture.

• Facilitate and organise overseas trips for staff, including the booking of flights and accommodations

Employee Communications:

• Issue various letters to employees, ranging from letters of appointment to letters of termination.

Tax Compliance:

• Submit all staff employment income records to IRAS.
• Submit tax clearance for all foreign staff.
• Work with external auditors and provide the necessary documentation for auditing of all entities.

HR Reporting:

• Prepare monthly HR payroll reports to the Finance department for analysis and documentation.
• Generate employee sick leave and vacation reports.

Payroll Processing:

• Efficiently manage the processing of payroll and overtime for all staff members.
• Timely submission of CPF contributions and claims such as government-paid leaves.

Leave and Claims Management:

• Update and track all staff leaves and claims, ensuring accurate and timely records.
• Maintain updated accurate employee records internally and with MOM to ensure compliance.

Work Pass Administration:

• Navigate work pass application procedures and monitor expiries, ensuring timely renewals.

Stocks Management:

• Monitor and maintain stocks of items to be distributed to employees, such as safety boots, uniforms, and stationery.

Onboarding and Offboarding:

• Manage the onboarding and offboarding processes for all local and foreign employees.

Ministry Surveys and Applications:

• Submit and participate in all relevant MOM surveys and applications.

Responsibilities:

• Perform front-desk duties at our GP Clinic, such as scheduling of appointment, registration, dispensing of medication, payment collection and administrative duties relating to patients. Clinic Assist CMS.
• Registration of patients includes but not limited to checking of CHAS/Insurance eligibility, name, NRIC, contact no, address, drug allergies, patient’s declaration and temperature.
• Involve in administrative functions relating to work area such as stationary/drug/consumable ordering/stock-take.
• Attending to phone calls, scheduling, appointment, reminders and chronic medication follow-up.
• Handling administration and documentation of referrals, lab tests, and radiology services from various vendors.
• Administrative duties such as daily fridge temperature recording, sharp box disposal.
• Ensure that facilities are patient-friendly, safe and clean.

Other duties assigned by clinic manager and/or doctor from time to time.

Requirements:

• Diploma in any discipline / GCE 'A' Level / 'O' Level / Higher NITEC.
• Positive, self-motivated and patient service-orientated.
• Able to work independently.
• Able to work shifts and on weekends.
• Sufficient knowledge of basic computer skills.

Overview

As a Admin Assistant cum Receptionist, you will assist the HR/Admin Manager in supporting the HR/Admin Department in the daily operation activities.

Responsibilities

1) Administrative duties such as attending to phone calls, visitors, courier services, mails processing, distribution of mails and activities logs and records.

2) Process General and HR/Admin correspondences as well as addressing General enquiries.

3) Assist in coordinating company events to facilitate smooth event execution.

4) Perform secretarial and administrative support such as hotel reservation, air-tickets booking, purchasing of pantry and stationery etc.

5) Ensure timeliness and completeness of data entries.

6) Provide supports to HR/Admin Manager.

7) Perform any other duties as assigned by the Management and the designated manager.

Requirements

1) At least a GCE “O” Level or equivalent with some relevant working experience in Human Resources and Administration.

2) Prior experience in Manufacturing/Construction Industry will be advantageous.

3) IT savvy with proficient in Microsoft Office application.

4) Independent, meticulous and positive attitude in learning.

5) Have a strong stakeholder focus and pleasant service-oriented attitude.

Primary Duties:

• Serve as the primary liaison between the Head of Marketing & Communications and other departments, ensuring clear communication and coordination of tasks.
• Take ownership of our Trello Board to organise and prioritise marketing demands, ensuring accuracy and timely execution of tasks.
• Manage social media platforms, including responding to inquiries, comments, and messages promptly and professionally.
• Develop and implement a social media content calendar, focusing on bridging gaps between religious content and promotional efforts for religious programs.
• Collaborate with the Head of Marketing & Communications to identify and leverage opportunities for engaging content and community outreach.
• Monitor social media analytics and track performance metrics to optimize engagement and reach.
• Stay updated on industry trends and best practices in marketing communications and social media management.
• Provide administrative support to the unit, including scheduling meetings, maintaining records, and managing email correspondence.
• Contribute creative ideas and insights to enhance the effectiveness of marketing campaigns and communication strategies.

Secondary Duties:

• Promote and support innovative and creative ways to generate income including fundraising initiatives and external funding via grants and sponsorship to ensure the ongoing sustainability of the unit and projects
• Provide support in District-based activities and initiatives
• Provide support in mosque event’s operations and manpower requirements
• Provide support in the department’s collective initiatives, and implementations and recommend plans for improvement

Requirements

• Professional Certificate/Diploma in Marketing & Communications or a related field, or with 2-years of relevant working experience
• Possess excellent communication skills, problem-solving skills, interpersonal skills, can work independently and collaboratively in a fast-paced environment
• Strong organisational and attention to detail
• Possess time management skills, with the ability to prioritise tasks effectively
• Proficiency in productivity tools such as Trello is an advantage.

• Hand on install automation machines & systems with meeting planned project & production schedule.
• Maintain and suggest improvement for existing automated production lines.
• Create, prepare, update automation project documentation, procedures & drawings of Gantt chart, weekly progress report, process / equipment flow chart, validation list, buy off/FAT/SAT (Factory / Site Acceptance Test) procedure, mechanical assembly & layout drawing, electrical diagram & wiring, I/O list, co-robot & PLC program, SOP (Standard Operation Procedure), WI (Work Instruction) & PM (preventive maintenance) check list.
• Update & back up automation system documentation, procedures, drawings, software, co-robot & PLC programming timely.
• Coordinate with internal team (Sales, Quality, Project, Production, maintenance) and external supplier to make projects successful.
• Participate of root cause analysis of product failure within cross functional team.
• Prepare machines preventive maintenance check list and train operation & maintenance staffs.
• Monitor automation system performance and provide support & perform service production automation line when necessary.
• Any other duties as and when assigned.
• Adhere to workplace health and safety. Abide by all EHS policies and procedures

Requirements

• Diploma of Engineering in Automation / Mechanical /Mechatronics / or equivalent. Fresh graduates are welcome, on job training will be provided.
• ITE with serval years’ experience are welcome.
• Experience in automation machine design are advantages.
• Hands-on experience of electrical and mechanical assembly & installation
• Knowledge on Mechanical/Mechatronics/Electrical components.
• IT skills (MS Office)
