Job Summary
We are seeking a dynamic and results-driven Executive to join ED’s office. The ideal candidate is to provide effective and efficient executive support to Executive Director including diary management, meetings management, communication, prepare reports and minute of meetings. This role requires excellent communication skills and maintain effective communication and working relationships with key partners and stakeholders at an operational level.
Key Responsibilities
Arrange Events and meetings
- managing schedules, organizing meetings, and setting travel arrangements and ensure timely communication to all parties concerned
Prepare reports and minutes of meeting
- Attend specific meetings and take notes, draft minutes and follow up on actions as and when required.
- Prepare reports for Executive Director
Manage Executive Director's work and personal calendars
- Act as the first point of contact for Executive Director and maintain the effective working of office in her absence.
- Maintain the highest level of confidentiality and adherence to policies and procedures.
- Manage meeting scheduling, prioritising and managing appointments, travel arrangements and papers for meetings
- Managing correspondence, track incoming and outgoing correspondence and ensure replies are produced within the required timeframe, prepare draft responses as appropriate.
- Ensure that cyclical and management deadlines for reports, reviews, are met.
Work closely with senior managerial or executive staff to provide administrative support when required
Qualifications and Skills
o Diploma Holder or bachelor’s degree in business, or a related field.
o Experience of providing PA service to Executive Director
o Excellent written and oral communication skills
o Excellent interpersonal skills, with the ability to deal effectively with all levels of staff
o Office Management experience
o Ability to use appropriate IT applications effectively (including Outlook, SharePoint, Word, PowerPoint and Excel
