About the Role
As an Administrative Assistant/ Officer at Knight Frank, you’ll be the key person in supporting both owners/ tenants and team. Reporting to the Site Head, you will facilitate the onboarding of new owners/ tenants, coordinate service requests and maintain an organized filing system. This position is ideal for a proactive individual with excellent interpersonal skills.
What you will be doing:
- Owners/ Tenants Support: Act as the first point of contact for owners and tenants, answering phone calls, handling enquiries and complaints with professionalism.
- Onboarding New Owners/ Tenants: Assist new owners and tenants in the application process for card access, keys, season parking and manage move-in/move-out logistics to ensure a seamless transition into their new homes.
- Service Coordination: Coordinate on-site inspections for Technician and Property Executive to promptly address residents’ service requests.
- Administrative Excellence: Manage petty cash vouchers and facility bookings. Provide administrative support by compiling weekly and monthly submissions for HQ Accounts. Establish and maintain an efficient filing system to streamline documentation and operations. Keep an accurate inventory of office stationery and track equipment maintenance records.
What we’re looking for someone who’s:
- Strong communication and interpersonal skills.
- Positive attitude with a can-do mindset.
- Detail-oriented.
- Proficient in Microsoft Office and comfortable using technology to streamline property management tasks.
- Candidates from property/ facilities management, service industry or Hospitality, Tourism, or Hotel Management will have an added advantage.
- Minimum of 'O' Level or equivalent qualifications.
