We are looking for a highly motivated and outgoing individual to take on the role of Office Manager. The ideal candidate will have exceptional organizational skills, a positive attitude, and the ability to take initiative and simplify complex tasks. This person will act as the cornerstone of our office operations, ensuring smooth coordination across teams, and handling sensitive information with integrity.

Responsibilities:
Office Management:
- Oversee and manage the smooth running of the office (e.g., equipment, pantry and stationery supplies, cleaning, security) and liaise with suppliers.
- Manage all office logistics, including telephone systems, mail, deliveries, and travel/accommodation arrangements.
- Handle office-related insurance matters and represent the company in such discussions.
- Act as the go-to person for all office-related matters.
- Ensure smooth daily office operations and effective coordination among departments.
- Provide general administrative support, including scheduling meetings.
Financial and Accounts:
- Work with the accounting partner to maintain ledgers and generate financial reports, including balance sheets and profit and loss statements.
- Conduct regular checks on financial statements to identify and resolve discrepancies.
- Manage accounts payable/receivable, payroll, and staff claims.
- Handle daily accounting entries, bank reconciliations, and quarterly GST submissions.
- Maintain accurate company records and ensure they are up-to-date.
Human Resource:
- Oversee onboarding, offboarding, and orientation for new staff.
- Draft HR-related letters and maintain employee records.
- Organize company events, including team bonding activities.
- Ensure compliance with HR policies and relevant regulations.
Other Responsibilities:
- Manage the front desk and other office-related duties.
- Perform secretarial tasks as assigned by superiors.
- Undertake additional duties to support organizational goals.
Job Skills and Requirements:
- Diploma/Degree in business administration, accounting, or an equivalent qualification.
- Minimum 5 years of experience in a similar role.
- Prior experience in the Advertising/Events industry is an advantage.
- Proficiency in Microsoft Office, including Excel and Word. Familiarity with ERP systems, Xero, Just Login and Google.
- Excellent interpersonal and communication skills (written and verbal).
- Strong attention to detail and accuracy in financial records.
- Ability to prioritize and manage multiple tasks and projects effectively.
- A collaborative mindset and strong work ethic.
- Must work from the office and be available to start on short notice.
