Job Description:
• Front-line support for customer inquiries and serve as the in-house resource for the sales operation.*
• Provide day-to-day support to the sales team and customers*
• Order Processing in our Enterprise Resource Planning (ERP) System received via email, fax or phone including but not limited to order types such as outright purchases, Special Access Orders, and Consignment.*
• Manage Travel Stock program, ensuring compliance with Quality System*
• Generate, receive, inspect, disposition, and transact Returned Material Authorizations (RMAs) via Complaint Reporting and ERP systems *
• Maintain all master data management activities including but not limited to new customer set-up and modification, account alignments, Supplier Add Requests (SAR) and Business Partner management. *
• Manage Consignment requests and execution, ensuring compliance with all relevant legal and quality requirements *
• Maintain excellent customer relations *
• Ensure compliance with ERP, Quality Management System (QMS) and financial requirements with respect to documenting usage and billing activities.*
• Inventory Management for in-field locations, and in the warehouse including but not limited to cycle counts, receipt of incoming product, safety stock calculations, expiration management and other warehouse transactions.
• Manage quarterly Reconciliation scans for both Travel Stock and Consignment accounts utilizing SalesForce. Quarterly generation of audit packets ensuring inventory accuracy to the lot ID level and reconciliation of 100%.*
• Serve as backup for accounts payable processing in ERP.
• Act as frontline support for International Regulatory Audits; specifically serving as the GDPMDS governance under Singapore regulations.
• Generate and process Returned Material Authorizations (RMAs) via RMA/Complaint Reporting and ERP systems. *
• Support of Quality functions such as RMA inspection, Receiving inspection, and dispositions. *
• Management of RMAs in AssurX to ensure accuracy and timeliness.
• Adhere to the Company’s Quality Management System (QMS) as well as domestic and global quality system regulations, standards, and procedures. *
• Check quality records associated with the quality system(s) to assure accuracy and conformance with the approved format and standards.
• Maintain control and ready access of quality and archived record files.
• Periodically audit quality records to assure continuing compliance and that the appropriate procedures have been followed.
• Adequate and up-to-date Metrics reporting of all issues. Communicate any issues that impact QMS to upper management, presenting solutions as appropriate. *
• Maintain accurate record of required sales expenses , customer files and field sales reports, communicating required information as needed.
• Direct and indirect procurement via generating purchase orders for product from other Penumbra subsidiaries (HQ), Third-Party Manufacturers, and other various vendors.
Job Requirements: Min Degree in Supply Chain / Logistics / Business or similar w min 3 yrs of relevant order processing & SAP experience, in pharma or medical device industry
