Key Responsibilities:
1. Diary and Schedule Management: Manage and coordinate the Chairwoman's daily, weekly, and monthly agenda. Schedule meetings, appointments, and personal engagements, ensuring there are no conflicts, and that time is efficiently allocated.
2. Meeting and Events Coordination: Organize and prepare for meetings including venue arrangements, logistics, and provision of necessary materials. Take minutes during meetings and ensure action points are communicated and followed up.
3. Travel Arrangements: Plan and organize travel arrangements including flights, accommodation, and local transportation. Ensure all trips are aligned with personal and professional commitments and are within budget.
4. Payroll and Benefits Administration: Liaise with payroll outsourcing agency for timely execution of pay and benefits for staff.
5. Project Management: Oversee and manage special projects as directed by the Chairwoman, ensuring deadlines are met and objectives are achieved.
6. Confidentiality: Maintain strict confidentiality on all business and personal matters pertaining to the Chairwoman and the company.
Qualifications:
• Proven experience as a Personal Assistant or similar executive support role.
• Excellent organizational and time-management skills.
• Strong communication and interpersonal skills.
• Proficiency in MS Office and other office management tools and applications.
• Ability to multitask and prioritize daily workload.
• High degree of discretion and confidentiality.
