Job Description:

• To support the Strategic Planning Dept. with administrative tasks, mainly claims and invoice payments to vendors, and any other administrative duties.

Job Responsibilities:

• To support: any education and other expenses to be submitted to HR, Tax Reporting to HR regarding the allowances, etc.
• Processing day-to-day expense payments: submission of invoices in a timely manner. Types of invoices corporate mobile phone bills, allowance-related expenses (housing expenses, moving expenses, etc.), company car expenses, etc.
• Any other admin and/or ad hoc tasks: scheduling of meetings, ordering of office items, coordinating access and equipment for new hires.

Job requirements:

• 2-3 years of administrative support experience in a fast-paced environment

Working hours: Monday - Sat, 9.00am to 6.00pm

Responsibilities:

• Manage office supplies and equipment to keep the workplace functional.
• Manage monthly payroll processing and administration.
• Develop and implement HR policies, ensuring compliance with labour laws.
• Manage employee relations, including addressing grievances, conflict resolution and performance management.
• Maintain documentation of employee database and personnel files
• Perform office administrative duties, including reception duties and mail/courier handling, correspondence, scheduling meetings, and maintaining records.
• Manage all insurance matters (e.g. work injury compensation, public liability, etc.)
• Prepare and submit reports, government survey returns, etc.
• Perform general HR administrative functions, such as recruitment, processing work passes and preparing appointment/confirmation letters, leave management and payroll management.

Requirements:

• Min. Diploma in Business Administration, HR Management or relevant fields
• Min. 2-3 years’ experience in HR duties and/or administrative functions
• Ability to effectively communicate with managers and employees of the organizations
• Possess strong analytical skills and prepared to work hands-on with HR functions/ systems
• Meticulous and independent worker who is able to carry out responsibilities with minimum supervision

Roles & Responsibilities

• Manage the full spectrum of GST accounts and record transaction data accurately.
• Prepare monthly reconciliation, financial reporting, closing statements, and manage AR/AP.
• Reconcile POS system transactions, including cash, bank, and credit card payments.
• Update fixed assets and depreciation records in accounting software.
• Prepare and review supplier payments, ensuring compliance with credit terms.
• Track and verify expenses, cash claims, and card usage submitted by outlet heads.
• Generate and maintain payroll and salary reports.
• Update attendance records, leave schedules, overtime, etc.
• Stay updated on MOM guidelines and implement changes as required.
• Handle general administrative tasks and other ad-hoc duties as needed.

Requirements

• Diploma or Degree in Accounting or related field.
• 3-5 years’ experience managing full-spectrum accounts, preferably in F&B.
• Proficient in English and Mandarin to liaise with cross functional team.
• Meticulous, organized, and able to multi-task efficiently.
• Independent, collaborative, and a good team player.
• Proficient in Microsoft Office (Excel & Word).
• Familiarity with Xero accounting, Zealys payroll, ePOS systems, and credit card portals.
• 5-day work week, immediate or short-notice availability preferred.
