The Human Resource (HR) & Admin Assistant will support the HR & Admin Manager in a variety of personnel-related administrative duties and providing HR services to the business. The individual works independently with dedication and has a sense of urgency to meet tight deadlines. The individual also adopts a service excellence mindset and is passionate about addressing organizational and employees’ needs and issues.

• Regularly update and ensure accurate maintenance of employee database, p-files and other HR-related information
• Assist on the necessary for a smooth onboarding for new hires including preparing workstation, stationery, uniforms and PPE if applicable, etc
• Provide administrative support for work pass applications/ renewals/ cancellations
• Put up and maintain job postings on various platforms
• Take on the role of training coordinator and administer training for employees, such as following up on course approval, registration, after-training evaluation, etc and maintain up-to-date training forms/ records
• Take on the role of approver and ensure drivers’ trip claims are correct prior to approving them
• Plan, coordinate and organise, which are inclusive but not limited to meetings, company events, etc
• Manage the maintenance and housekeeping of office premises and equipment such as copiers, air-conditioners, water dispensers, etc
• Assist with general administration and other ad-hoc tasks as assigned by Manager

Minimum Educational Qualifications/ Experience required:

• GCE ‘O’ Level/ Higher Nitec/ Diploma in Human Resource or equivalent
• Minimum 1 year of HR-related experience

Skills and knowledge required:

• Proficient in Microsoft Word, Excel, Outlook and PowerPoint
• Knowledge of Unit4 Prosoft HRMS is an added advantage
• Good knowledge of Singapore Employment Act and/or local labour legislation
• Organised, meticulous, self-motivated and able to work independently
• Takes initiative to make things happen
• Able to work under pressure in a fast-paced environment and with a sense of urgency to meet deadlines
• Service-oriented with good interpersonal and communication skills in dealing with various levels of employees

Responsibilities:

1. Recruitment and Talent Acquisition

• Lead end-to-end recruitment processes, including sourcing, screening, and hiring for mid to senior-level positions.
• Develop and implement innovative talent acquisition strategies to attract high-quality candidates.
• Oversee onboarding activities, ensuring smooth transitions for new hires through structured programs and documentation.
• Regularly update and maintain detailed job descriptions, organizational charts, and recruitment metrics.

2. Employee Relations and Engagement

• Serve as a trusted advisor for resolving complex employee issues, ensuring fair and timely resolutions.
• Design and execute employee engagement initiatives, such as surveys, recognition programs, and team-building activities.
• Promote a positive work environment by mediating conflicts and fostering open communication across all levels.

3. HR Operations and Administration

• Oversee the accuracy and integrity of employee data in HR systems and ensure compliance with company policies.
• Manage payroll processes and employee benefits administration to ensure accuracy and timeliness.
• Prepare and analyze workforce reports, including attendance, leave management, and HR metrics.
• Safeguard the confidentiality of personnel files and HR-related documentation.

4. Performance Management and Employee Development

• Drive the performance appraisal process, providing guidance to managers and employees on goal setting and feedback.
• Collaborate with department heads to design and implement training and development programs that address skill gaps.
• Monitor probationary periods, manage contract renewals, and support performance improvement initiatives.

5. Compliance and Policy Management

• Ensure adherence to local labor laws, regulatory requirements, and industry best practices.
• Develop, review, and communicate HR policies, employee handbooks, and standard operating procedures.
• Conduct periodic audits of HR documents and systems to ensure compliance and recommend improvements.

6. Strategic HR Partnership

• Collaborate with the HR Director to develop and implement HR strategies aligned with organizational objectives.
• Utilize workforce analytics to provide insights and actionable recommendations to leadership.
• Support organizational change management efforts to ensure smooth transitions during business transformations.

7. Program and Event Management

• Plan and manage HR programs, including wellness initiatives, training sessions, and employee engagement events.
• Coordinate company-wide announcements, onboarding sessions, and other HR-driven activities.

Requirements

• Bachelor’s Degree in Human Resources, Business Administration, or a related field.
• A minimum of 5 years of progressive HR experience, including at least 2 years in a supervisory or assistant managerial capacity.
• Proficient in HR software and systems, with strong analytical and problem-solving skills.
• In-depth knowledge of local labor laws, compliance standards, and HR best practices.
• Exceptional organizational and multitasking abilities, with a high level of attention to detail.
• Strong interpersonal and communication skills, with the ability to engage effectively at all organizational levels.
• Proven ability to handle sensitive and confidential information with integrity and discretion.

General Administration

• Provide support for all answering of calls
• Update pest control services report (weekly) and mosquito breeding report (monthly)
• Order stationeries and pantry supplies and gifts (for occasions)
• In charge of the maintenance of the copier machines and order toners when required
• Maintain record of Company Vehicles and apply Shell card for new vehicles, vehicles auditing
• Apply for PUB for water and electricity supply for office, town council and public toilets and accommodation of foreign workers and season parking for lorries
• Any adhoc duties as assigned

Recruitment

• Support recruitments for Operations teams with recruitment. administrative, organizational and logistical tasks.
• Serving as the logistical point of contact for both internal and external candidates at the written offer stage, including interacting directly with the candidates and ensuring signed paperwork is received in a timely manner.
• Managing various aspects of the candidate experience post offer acceptance, including ensuring accurate start dates and compliance of onboarding paperwork.
• Maintain accurate record keeping and consistent storage of new hire candidate records.
• Completing daily, weekly, monthly and quarterly reports as required.
• Conduct new employees’ orientation, exit interviews, referral programs.
• Updating of handbooks, orientations programs and documents templates when required.
• Any other ad-hoc tasks that are assigned.

Requirements

• Bachelor's degree in Human Resources or a related field.

• Minimum of 5 years of executive or corporate recruiting experience, preferably in the aerospace industry.

• Proven ability to manage multiple roles in a fast-paced environment, addressing hiring needs with urgency while maintaining an excellent candidate experience.

• Exceptional written and verbal communication skills, with the ability to manage multiple projects concurrently with minimal supervision.

• Proficiency in SAP HR and Applicant Tracking Systems (e.g., Taleo, SuccessFactors) is preferred.
