Our client, a renowned Real Estate firm, has an opportunity for a Winner to join the Team as an Senior Leasing Assistant (Real Estate).

RESPONSIBILITIES:

• Manage all aspects of lease administration, including preparing and reviewing lease documents, creating contracts in the system, and updating the tenancy schedule.
• Oversee lease documentation, conduct audit checks on leases and tenants, manage arrears, and perform other related lease management functions.
• Maintain and update records and data in the system.
• Monitor the status of security deposits and lease documentation.
• Handle administrative duties for the department, such as supporting the chat hotline, organizing tenant and departmental events, and maintaining a well-organized filing system for both paper and electronic documents.

REQUIREMENTS:

• Possess a Diploma in relevant courses
• Minimum 2 years of relevant experience
• Strong admin that does contracts and work in legal/law firm will have added advantage
• Proficiency in Microsoft Word and Excel are essential
• Experience in SAP will be an added advantage

• Working hours: Monday – Friday, Office Hours

Job Description:

• Support directors with daily accounting data entry, human resources (HR) and administrative tasks for the essential running of the practice and distributorship.
• Ad hoc banking once candidate is deemed ready.
• Assist in placement of ads for employment of staff and keeping up to date with current MOM regulations.
• Ordering of supplies and stocks for the companies, including drugs and other consumables.
• Overall care and support for the equipment, and maintenance of the building - such as electricity, plumbing and airconditioning system.
• Plan meetings and take detailed minutes.
• Make travel arrangements and reservations for directors and colleagues.
• Compose and type regular correspondence, such as liasing with suppliers and clients.
• Organising orders (incoming and outgoing) for the distributorship; logistics management.
• Organise and manage a filing system.
• Create spreadsheets and presentations.
• Develop, implement and improve policies and procedures.
• Preparing stock (eg labels, refilling of stock) for delivery, and performing some deliveries.
• Prepare quotation, delivery orders, invoices, purchase orders and monthly billings.
• Manage uniforms.
• Ad-hoc tasks as assigned.

Requirements

• Knowledge of office management systems and procedures
• Working knowledge of office equipment, like printers and fax machines
• High proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Moderate to high capability in digital skills, in order to work with e-commerce platforms
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Ability to work seamlessly in a team as well as cope independently and head some projects

Qualification: Polytechnic or University graduate.

Experience: At least 1 year of relevant work experience preferred.

Qualification & Requirements

• Minimum Diploma and preferable in engineering training.

• Knowledge in contract law, ISO 9001 QMS and negotiation skills are a plus

Key Responsibilities

• Personal assistant to Senior Manager Special project and Contract
• Manage routine sales and assigned project tender enquiries. Involved in the tender preparation, collate the tender documents and prepare on time submission.
• Interface with the customers and inter / intra departments on the change of scopes, clarifications, etc and ensure on time submission.
• Montor (closely) and follow up on quotations and tender submissions.
• Assist in contract management on contract award.
• Involved in contract execution as assigned including but not limited to interface with sub-contractors, technical specification compliance, on shore supports, project cost control and monitoring, delivery assurance, as built documents compilation and submission etc.
• Post project administration includes but not limited to Account Receivable expediting, Account Payable assurance, project postmortem and final project P&L report.
• Provide support to intra department ISO 9001 certification including training, education, auditing etc
