• Coordinate with HRBP and other departments to create and sustain positive employee relations and facilitate effective communications between employees and management
• Draft proposals and rules or regulations, and ensure that human resources policies are consistent with local labor laws
• Manage employee benefits to study and ensures that the benefits offered are competitive, cost-effective, and compliant with legal requirements.
• Investigate validity of labor grievances and advise management on contracts, worker grievances, and disciplinary procedures
• Other additional duties as required by supervisor

REQUIREMENTS

• At least 3-5 years working experiences with multi-national company at a similar position
• Bachelor’s degree in Human resources, Labor Relations, Business, Accounting or related field required.
• Minimum 3-year experience in payroll practice and human resources or employee relations
• Thorough understanding of laws, regulations and guidelines related to HR and contract negotiation.
• Exceptional verbal and written communications abilities with conflict resolution experience
• Proficient in MS Office , Adobe Acrobat and Social Media platforms
• Detail-oriented and dedicated to meeting deadlines
• Professional training is preferred

Responsibilities:

HR Recruitment and Administrative Work

• Recruitment: Managing the end-to-end recruitment process, including job postings, sourcing candidates, conducting interviews, and onboarding new hires.
• Administrative Work: Maintaining employee records, processing HR documentation, payroll processes and ensuring compliance with HR policies and regulations.

Rostering

• Scheduling: Developing and managing staff schedules for "My Queen," ensuring adequate coverage and meeting operational requirements.
• Flexibility: Adjusting rosters based on employee availability, workload demands, and unforeseen changes.
• Tracking: Monitoring attendance and leave for HCAs
• Communication: Providing timely updates and instructions to staff regarding their shifts.

Operational Matters

• Process Management: Overseeing day-to-day operations
• Problem Solving: Addressing and resolving operational issues in a timely manner.
• Collaboration: Coordinating with other departments to ensure smooth functioning operations.
• Procurement: Sourcing and purchasing goods and services
• Inventory Management: Tracking inventory levels / Conducting audits and addressing shortages promptly

Funding and Administration

• Funding Management: Researching funding opportunities and preparing proposals.
• Claim and Documentation: filing for claims, preparing and maintaining reports or records required for funding purposes.

Training Matters

• Training Coordination: Identifying training needs, organizing training sessions, and ensuring employees receive the necessary skills development.
• Compliance: Ensuring all training meets organizational standards and regulations.
• Evaluation: Measuring the effectiveness of training programs and making improvements as needed.

General Administration Work

• Office Management: Handling day-to-day administrative tasks such as correspondence, filing, and record keeping.
• Communication: Acting as a liaison between teams and stakeholders to ensure clear and efficient communication.
• Support: Providing general support to other departments or staff as needed.

• Ensure a smooth onboarding experience for new hires by coordinating essential documentation, planning schedules, and fostering collaboration among diverse departments.
• Efficiently oversee preboarding, onboarding, and offboarding procedures.
• Provide focused HR advisory assistance to employees, addressing operational concerns with expertise.
• Contribute to effective communication, interpretation, and resolution of a wide range of HR challenges.
• Create and disseminate official correspondence as needed.
• Manage tasks related to work permit applications and matters involving foreign workforce.
• Consolidate payroll summary for external payroll vendor.
• Take charge of the recruitment and selection process, upholding compliance with staffing prerequisites.
• Execute procedures for incoming and outgoing employment, including handling work permit affairs for foreign personnel.
• Perform daily administrative functions in HR, including maintaining the staff file database, managing visa applications, arrange flights booking, manage and purchase stationery and executing additional responsibilities delegated by the HR manager.

Requirements:

• Bachelor's degree in Human Resources, Business Administration, or a related field.
• 3 to 5 years of HR relevant working experience.
• Preferred candidate with experience in manufacturing environment.
• Solid understanding of HR operations, regulations, and best practices.
• Knowledge of employment procedures, including work pass matters for foreign employees.
• Excellent communication skills for effective interaction with employees and cross-functional teams.
• Organizational skills to manage daily HR administrative duties and tasks efficiently.
• Bilingual in English and Chinese to communicate with multinational workforce.
