Job Responsibilities:

• Ensure the accurate and timely maintenance of employee records, databases, and personnel files, ensuring compliance with all applicable regulations and company policies.
• Facilitate the onboarding process for new hires, including arranging workstations, stationery, uniforms, personal protective equipment (if required), and other necessary preparations.
• Provide administrative support for work pass applications, renewals, and cancellations in compliance with relevant employment regulations.
• Post and maintain job advertisements on appropriate platforms in line with fair recruitment practices.
• Coordinate and administer employee training programs, including handling course approvals, registrations, post-training evaluations, and maintaining up-to-date training records and documentation.
• Review and verify drivers' trip claims to ensure accuracy before approval.
• Plan, coordinate, and organize activities such as meetings, company events, and other related functions.
• Oversee the maintenance and housekeeping of office premises and equipment, including copiers, air-conditioners, water dispensers, and other office resources.
• Provide general administrative support and undertake additional tasks as assigned by the Manager.

Job Requirements:

• Possess at least GCE O Level or equivalent
• At least 1 year of relevant experience in Human Resources.
• Proficient in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
• Familiarity with HR management systems such as Unit4 Prosoft HRMS is advantageous.
• Sound knowledge of the Singapore Employment Act and relevant local labor legislation.

Additional Information:

• Salary: Up to SGD 2,800 + VB (2 Months)
• Working Location: Tuas Crescent
• Working Hours: Monday to Friday, 8:30am -5:30pm

Position Objective: (the primary reason the position exists)

The main role of the HR Shared Services Assistant (Business Operations) is to be the main point of contact for both contractors (Associates) and clients such as helping in contract renewals etc.

Key Responsibilities:

• Manage & provide internal reports on Associates headcount movement & Client’s growth.
• Provide monthly reminder for client holders for Contracts and Work Pass Due.
• Manage end to end onboarding & offboarding formalities.
• Assist in Work Pass Application/Renewal, Contracts extension, termination, resignation, reference checks, leave & claims requests, contractor bonuses.

The Assistant HR Manager plays a key role in fostering a positive work environment and contributing to the Company’s HR objectives and overall goals.

Responsibilities

• In charge of full spectrum of HR functions including Recruitment, Employee Relations, Compensation & Benefits, Performance Management, HRMS management, Training & Development.
• Provide advisories to the management with regard to employment issues which includes labour legislations, best local labour practices, company manpower practices and ensure legal compliances with all statutory requirements.
• Develop, implement, review and update HR policies.
• Contribute to the development and implementation of HR strategies and initiatives that align with business objectives.
• Hands on with HR issues such as employee relations, grievances, complaints and provide counselling / guidance.
• Maintain employee morale by fostering a positive working environment through effective leadership and teamwork.
• Main point of contact for all employee relations matters.

Requirement

• Degree in Human Resource Management or in any discipline.
• At least 5 years of relevant experience in HR function.
• Strong knowledge of HR principles, employment laws, and best practices.

• Strong knowledge of MS Office and general HRIS.

HR Admin Responsibilities:

• Manage work passes related issues such as application, renewal, cancellation etc.
• Responsible for application, renewal and maintaining licensing with various government bodies
• Reporting to MOM if there is any change in foreign worker details, such as passport, residential address, mobile and etc.
• Maintain and update employee records, including personal information, attendance records, and leave balances.
• Generate monthly payroll reports and other analyses for monthly internal billing purposes.
• Assist in submission of CPF contributions, IR21, IR8A, levy claim applications, government surveys and other statutory submissions.
• Maintain and timely renew of Insurances, Security Bond and Insurance Claim Handling
• Maintain and update employee records, including personal information, attendance records, and leave balances
• Verify timesheets and attendance for operations staff
• Ad-hoc duties as and when required.
• Update and maintenance proper HR filing system to ensure documents are traceable in an efficient manner

Job Requirements:

• Diploma or Degree in Human Resources Management, Business Administration or related field
• At least 1 year of human resource management experience is preferred
• Proficient in MS Office (especially Excel formula) and preferably in Info-Tech HR Software
• Proficient in English and preferably in Mandarin in written and verbal communication
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Excellent organisational and time-management skills to prioritise tasks effectively with minimal supervision
