Job Description

The National University of Singapore is seeking a Research Associate/Research Fellow (Research Manager) in the Centre for Behavioural and Implementation Science Interventions (BISI), Yong Loo Lin School of Medicine. Purpose of the post

The successful hire is expected to lead and coordinate BISI's research initiatives. You will play a crucial role in shaping and executing our strategic research agenda, ensuring timely delivery of projects, and maintaining strong relationships with key stakeholders.

Main Duties and Responsibilities

• Contribute to the ongoing development and organise BISI’s research programme to support its strategic direction and mission.
• Lead the tracking, timely reporting and development of research budgets and individual projects, including existing grants and future funding bids, such that the research and project work can be delivered efficiently.
• Monitor research progress, and identify and implement project management interventions to keep research activities on track.
• Plan and monitor research design, data collection, data storage, documentation and reporting in line with the highest ethical standards and Institutional Review Board (IRB) requirements.
• Oversee project teams, staff allocation, budgeting and procurement processes to support programme productivity and continuity.
• Prepare and coordinate reports on programme progress for a variety of audiences.
• Regularly communicate with BISI management team and stakeholders, internal and external (e.g., relevant government ministries).

Qualifications

The candidate should possess:

• A Master’s or PhD in Psychology/Behavioural Science/Public Health or any discipline related to health or biomedical sciences.
• Minimum of five (5) years of project/programme management experience with the ability to juggle and complete multiple projects with diverse stakeholders within an academic or healthcare setting.
• Working knowledge in research ethics and HBRA is advantageous.
• Experience supporting the full cycle of Institutional Review Board activities, from application, management, documentation and reporting for studies involving human participants.
• Ability to write, edit, and produce reports and other formal documents of communication.
• Ability to produce, manage and understand financial documents, particularly in the context of research grants.

Qualifications

• Successful management and coordination of research staff, including research assistants, students and interns.
• Excellent organisation and problem-solving skills.
• Proficient in Microsoft Office programs (Word, Excel, PowerPoint and Outlook) and project management tools.

Research

Administration

• Keep and maintain relevant documents / records of all assessment reports / protocols, case notes of intervention sessions & documents related to department / programmes / organisation.
• Maintain inventory of department and make recommendations for purchases of new materials and equipment.
• Participate actively in sub-committee meetings/Projects (some of which include Case & Review sub-committee & Professional Sub-committee etc) or any ad-hoc project.
• Assist HOD in the administration of the department.

REQUIREMENTS

• A Bachelor’s degree in Psychology with Honours from a SPS recognised University.
• Willing to pursue a Master’s degree in relevant fields of Psychology (Clinical, Educational, Applied), within 2-3 years of working in CPAS as Associate Psychologist.
• Relevant experience with children and adolescents preferred.
• Expereince in learning, emotion and social development skills, child development and classroom management skills.
• Good interpersonal and communication skills and the ability to work independently in a transdisciplinary team.

Fabrica AI is reinventing how robots are developed. Currently novel robots take 5-20 years. We are building a design automation platform to bring it down to a month, and have already demonstrated significant progress by developing tile grouting robots in record time. A couple other companies are building on the same paradigm shift but we are the only ones using it to automate hardware design, not just software.

Building robots and a design automation platform together brings great synergy - the platform helps us develop robots faster than anyone else and the robots allow us to gather data and do experiments at scale. Data gathering can be done through partnerships with other robotics companies, but doing experiments is crucial for grounding the platform in reality and ensuring its usefulness. The grouting robots are already deploying daily at construction sites and bringing value to clients. We are currently negotiating sales worth around 500k USD. With manufacturing cost multiple times lower than companies using a traditional robotic arm, our robots have an ROI in weeks. As an Administration Associate/ Associate Developer Support Specialist, you’ll collaborate with a diverse team of AI developers, scientists, data engineers, DevOps engineers, and architects to build best-in-class AI products. You will serve as a key operational pillar, supporting local leadership to meet fixed timelines. Success in this role will be measured by your ability to deliver initiatives with top-notch quality, such as enhancing operational efficiency and team productivity.

Expectations and Tasks

Operations Support Responsibilities

• Collect and maintain department Internal Orders and Transfer Project details
• Coordinate Legal documents, NDA's, third party contracts with the regional and SAP AG Legal departments
• Support budget planning, tracking, and processing of expense reports, internal cross charge and vendor payments.
• Coordinate and assist team with IP and Patent matters
• Assist in organizing training sessions, managing registrations, and maintaining learning and development records.
• Coordinate team events, liaising with vendors for catering and logistics.
• Maintenance / update of team shared folders, workzone page, distribution lists, and internal communication channels e.g. Slack, MS Teams Channels, etc.
• Organize team meetings, all employee meetings, and other types of events.
• Maintenance of team assets, documents, lockers.
• Act as a central contact person for all employees in the department and provide ad-hoc support if needed.
• HR & Recruiting Operations Responsibilities
• Understand HR & Recruiting principles and act accordingly
• Responsible for necessary administrative tasks associated with this role in collaboration with other HR teams as necessary
• Dealing with enquires (phone, email) related to HR & Recruiting process in an efficient and professional manner
• Facilitate the onboarding process for new hires, including laptop procurement, lockers assignment, and distribution list management, training arrangement, etc.
• Manage the offboarding process, including locker assignment removals and checklist processing, etc.
• Coordinate and support Center’s Internship, PhD scholar and other research and academic programs
• Track project milestones, including following up with researchers and research partners including Universities

Executive Assistant Support Responsibilities

• Coordinate and interact with executive assistants inside and outside SAP as a regular part of the job.
• Support managers with administrative assistance (e.g. scheduling of meetings, meeting infrastructure like conference room booking, facilities booking, travel management etc.)
• Prepare meeting agendas, create and distribute meeting materials, taking meeting minutes, send follow-up communications and tracking action items.
• Assist oversea executives visit in Singapore (plan meeting agenda, booking of meeting rooms, events arrangement, etc.)
• Collaborate with other departments to plan and execute local or regional activities.

EDUCATION AND QUALIFICATIONS / SKILLS AND COMPETENCIES

• Degree in Information Systems, Finance, HR, or Business Administration (or equivalent).
• Strong in organization, planning, collaboration, and execution
• Excellent communication skills: oral, written, and in presentations.
• Proactive and Self-motivated with ability to work independently within a complex and high-pressure environment
• Excellent social and emotional intelligence quotient
• Strong knowledge of all aspects of MS Office, especially Outlook, PowerPoint, and Excel
• Strong ability to prioritize and deliver quickly with high sense of responsibility
• Self-learner with out-of-the-box ideas and proposals
• Ability to multi-task and deliver highest quality work under time constraints in global environment
• Flexible and capable of multi-tasking/managing a broad variety of tasks and topics

WORK EXPERIENCE

• 1 - 3 years of operations and administration experience
• Knowledge of internal systems at SAP (such as ISP, CSS, SAP Corporate Portal etc.) would be advantageous
• Work experience at an executive assistant (EA) level position in technology or consultancy industry is preferred
