We’re looking for an energetic and organized HR Officer to join our team on a temporary 5-month basis

Key Responsibilities:

1. Staff Development and Training

• Coordinate and process staff training programs, including course registration, payments, and account setup (e.g., Opal platform).

2. Recruitment and Onboarding

• Manage job postings and candidate shortlisting for various roles.

• Facilitate the Ministry of Education (MOE) Open Posting Exercise.

3. Employee Benefits and Insurance

• Maintain accurate staff insurance records and liaise with brokers on updates and claims.

• Address staff inquiries and guide them on claims-related matters.

4. Awards and Recognition Programs

• Manage award nomination processes and prepare materials, including certificates and presentations, for recipients.
• Oversee award-related payments and coordinate with vendors to source suitable gifts.

5. HR Operations and Claims Management

• Process employee claims (medical, dental, transport) and verify reimbursement reports.
• Collaborate with external vendors to streamline claims processing and resolve issues.
• Respond to staff inquiries and improve administrative efficiency for HR processes.

6. Event Planning and Coordination

• Organize and coordinate key school events, including the Teachers’ Day Lunch, ensuring seamless execution.
• Prepare materials, such as scripts and certificates, and manage event logistics.

7. General HR Administration

• Manage staff passes, including synchronization and issuance.
• Support school initiatives, such as study subsidies and meeting arrangements, ensuring timely follow-through.

Grace AG is looking for Facilities Officer to support our 2 church campuses at Grace@Tanglin and Grace@BukitBatok.

The successful candidate will be responsible to provide facilities and building maintenance support, to ensure smooth operations of the church facilities. Candidate must be willing to be deployed and rotated for duties at both campuses.

What You’ll Do

• Work with facilities team in managing the building services (CCTV/ Premises Access/ Chiller/ Carpark Gantry), church services and events etc.
• Partner with Pastoral staff to ensure that our facilities are able to support the Campus’ ministries needs
• Partner with our Facilities Management Company (FMC) to ensure the readiness and preparedness of our premises for activities across the week
• Support booking of rooms and set up of room facilities
• Ensure that security, health, and safety standards are aligned with compliance
• Assist in renewal of various licenses and permits as necessary
• Work with FMC to plan and manage periodic maintenance schedules
• Provide administrative support and back-up to the team as necessary
• Systematic, meticulous, and attentive to ensure a thorough follow through of processes
• Be part of project teams where needed

Who You Are

• Serving your full-time call to ministry
• Minimum NTC 3 in M&E or equivalent
• Knowledge of M&E services will be an added advantage
• Proficient in computer processing skills such as Microsoft 365
• Dependable, responsible, independent and resourceful, with a positive mindset and initiative to contribute
• Strong team player who's ready to roll up sleeves and work alongside a team that's hardwired to work hard, and for whom work is a joy to serve in the Kingdom of God
• Minimum 1 year experience in a similar environment
• Fresh Diploma Holders in any Engineering Discipline are welcome to apply

Job Scopes:

• Provide leave administration for staff.

Requirements:

• Experience in Administration and with Human Resources background or equivalent professional qualifications.

• Good working knowledge on Microsoft Office including intermediate level for Excel.

• Prior experience with Workday and/or SAP systems is an added advantage.

• Prior experience with working with government agencies is an added advantage.

• Good written and communication skills

PRIMARY OBJECTIVES

• To perform check in and check out guests according to hotel procedures and ensure all guests’ accounts are correct and settled upon check out.
• To attend to all guests’ enquiries and complaints and to ensure guests’ satisfaction.

MAIN DUTIES AND RESPONSIBILITIES

• To sell, register and assign rooms to incoming guests, ensuring that all details are filled up correctly on registration card.
• To issue program room keycards and validate duplicate room keycards to guests.
• To attend to all requests and requirements from guests promptly and handle complaints tactfully.
• To assist walk-in guests and in-house guests with alternative accommodation in the event of a full house situation.
• To inform other departments of arrival, room changes, check out and special arrangements.
• To maintain mails and information desk routines as per procedures.
• To answer telephone and guest enquiries.
• To receive and hold in safe custody on all foreign currencies made by guest as Deposit.
• To offer up-selling of rooms to a higher category of room type.
• To accept and take down reservations in the absence of Reservation Staff.
• To liaise with Guest Services Manager or Supervisor regarding on complaints and special requests.
• To perform check out procedures and to ensure all bills are settled by guests upon departure.
• To receive monies from guests in payment of outstanding bills and to refund monies to guests when there is a credit balance due.
• To balance cash float, credit card transactions and other transactions at end of each shift.
• To check all guests bills before presentation to guest upon guest check out.
• To collect or charge all monies due to the hotel to the respective travel agents or companies.
• To perform cashiering and maintain a complete record of guests’ account.
• To declare all cash shortages or excess to Finance Department.
• To file documents and relevant of reports in proper file.
• To co-ordinate with Sales Department, Housekeeping Department, any other department and Front Office staff to ensure hotel’s objective to provide the most efficient services to guests is achieved.
• Any other suitable tasks as and when assigned by Superior.

• Maintain cleanliness in assigned rooms.
• Locking all rooms at the end of the day
• Perform traffic duty at respective school gates as assigned
• Accompany contractors for maintenance or repair work of equipment and premise.
• Arrange desks and chairs for school events.
• Any other duties, include Saturday work, as and when required
