HR Operations Executive - Changi - 5.5 day week - Singaporeans only - no experience required

Reporting to the Director, the Operations Executive candidate is to manage projects assigned and is competent on the following:

- to supervise the well being and performance of the staffs managed under the candidate's care

- to liaise with clients on their business needs, plan the necessary schedule and supervise the execution.

- to build and develop the own team of staffing through recruitment and interviews

- to liaise with HR on staffing support and training needs

- to participate in discussion with clients on business needs.

· Manage end-to-end recruitment function

· Posting & drafting job advertisement via various job portals; liaison with recruitment agency for recruitment needs;

· Identify talent needs within the organization and source for suitable candidates to fill the roles within given timeline

· Oversee and manage recruitment cycle – identify suitable recruitment channels, screening of resumes, interviews with candidates, preparation of salary proposal and job offers

· Handles on-boarding and off boarding procedures and its administrative works including conducting orientation, introduction of the organization and compiling of required documentation for proper filing, recording, lettering, updating HR system and maintaining of employee personal files etc.

· Prepare employment related contract and/or other letters such as confirmation, transfer, promotion etc.

· Oversee and manage renewal of employees’ contracts and work pass renewals for foreign employees

· Handles HR related benefits administration, liaison with vendors, review of benefits and communication of information to employees.

· Responsible for the full HR SAP system, upkeep and maintenance for accuracy of data and information

· Backup support for some payroll administration

· Provide supporting role to HR Manager

Recruitment

• Assisting in recruitment process includes but not limited to preparing job descriptions, advertising vacant positions, sourcing & screening application, arranging interview, etc
• Perform daily HR duties such as On-boarding/Off-boarding formalities, staff orientation, staff pass processing etc
• Process work pass application, cancellation, renewal for foreign workers through MOM website
• Coordinate with relevant departments on manpower movement, contract renewal, confirmation, transfer, promotion, re-employment, resignation, etc along with respective administration
• Prepare employment-related documents e.g., employment contract, letter, etc

Leave & Record Management

• To ensure all leaves are applied in system before employees goes on leave
• Responsible for claims of government grants such as maternity leave and childcare leave applications
• Ensuring accurate and proper record-keeping of employee information in electronic and digital format and required personal documents are in place

Other HR Matters

• To file all training certificates in workers’ personal files accordingly
• Provide response to employees’ enquiries on HR-related matters
• Administer Work Injury Compensation Claim
• Prepare information for Labor Market Survey

RESPONSIBILITIES:

• Responsible for the preparation and maintenance of full set accounts
• Responsible for month/year end financial and management reports
• Prepare fixed assets schedules and bank reconciliation
• Handle intercompany transactions, reconciliation and confirmation
• Review the work of Accounts Assistants to ensure the accuracy of daily sales revenue and expenses
• Handle year-end statutory audit, preparation of statutory accounts
• Prepare and submit of quarterly GST returns
• Liaise with auditor, tax agent and company secretary
• Assisting any ad-hoc activities assigned in relation to the operation of the business

REQUIREMENTS:

• Possess Degree in Accountancy, ACCA, CPA or equivalent
• Strong analytical skills, meticulous and proficient in MS office especially in MS excel.
• Minimum 3-5 years of full sets accounting experience
• Ability to function as a team player who is proactive and independent
• Ability to meet tight schedules and timelines
• Strong communication and interpersonal skills
• Knowledge and experience in ERP accounting software will be an advantage
