Human Resource Duties

• Recruitment & Offboarding support:
  • to assist in job advertisements, partnering with recruiter, screening resume and scheduling interviews coordinate onboarding processes for new hires, including documentation and orientation sessions
  • Manage MOM Work Passes application and renewal
  • Tracking of employee confirmation and issuance of confirmation letter
  • Manage Offboarding of employees such as facilitate exit process, scheduling of exit interview.
  • Maintain, file and update employee records in HR systems and ensure accuracy and confidentiality
  • Handle employee leave administration in E leave system, welfare and benefits
  • Maintain Employee handbook and HR Policies to ensure compliance with labour laws and company policies
  • Prepare monthly HR reports such as headcount report, man-hour report, flexible benefit report, safety hours report and leave summaries.
  • Support in organizing staff engagement activities such as DEI, CSR events, training sessions, and recognition programs
  • Support Employee Engagement Survey and Great Place to Work survey, follow up and improvement action
  • Support learning and development programs (sourcing of relevant training programs)

Administrative Duties

• Oversee the administration and coordination of non-trade purchase requests, including vendor management and documentation
  • Manage office supplies, stationery, courier services and ensure office environment is well maintained.
  • Oversee coordination with cleaning staff, vendors and building maintenance team
  • Support vendor onboarding and assist in registration and processing of vendors for GIRO payment system
  • Schedule meetings, manage outlook calendars and assist in preparing meeting materials
  • Handle Guest and visitor registration, incoming calls, emails and correspondence professionally
  • Arrange domestic and international travel itineraries including flights, accommodations, transportation and visas
  • Prepare and reconcile Management expense reports
  • Track and maintain records of HR & Admin budgets and expenditures

Facility Duties

• Coordinate maintenance and repair of office facilities and equipment (aircon, pantry water filter, printer, lightings etc)

• Check and calculate employees overtime
• Generate payroll reports and upload bank export files in DBS IDEAL for approvals
• Maintain proper filing of payroll documents to include supporting documents and authorisations
• Generate payslips
• Prepare Headcount Report and Payroll Recharges for Finance Department.
• Send Payroll Reports and Recharges to Finance Department by the 1st week of month
• Monthly submission of CPF. Provide CPF acknowledgement to respective Finance personnels.
• Tally and reconcile monthly FWL payment advices (for 6 centres).
• Process and submit NS Make up Pay claims for staff
• Provide support in survey related matters
• Generate and extract reports from Timesoft as and when required
• Prepare relevant HR monthly report
• Any other ad hoc duties

Requirements:

• min. Diploma or Degree in Accountancy
• Possess 3 years prior working experience in payroll and HR functions, preferably from healthcare industry and/or medical instituitions
• Excellent interpersonal and communication skills
• Knowledge of Timesoft system is preferred
• Able to start work in 1 month notice
