To support daily Finance and HR matters.

• AR duties – Assist to prepare invoices and timely update of incoming receipts in the accounting system. Prepare Ageing report and following up with customers on all outstanding payments.
• Assist to upkeep of fixed asset register.
• AP duties – Assist to post invoices, prepare payments, checking of cash claims and processing of payments.
• Assist in year-end audit process.
• Assist in month-end closing.
• Assist to perform stock-take and reconcile inventories.
• Assist in handling full spectrum of HR functions including recruitment & onboarding process.
• Assist in Compensation & Benefits administration.
• Assist in monthly payroll processing.

EDUCATION

• Diploma in Accountancy / Human Resources or equivalent discipline

SKILLS, KNOWLEDGE AND RELEVANT EXPERIENCE

• Ability to multi-task and meet tight timelines.

• Minimum 2 to 3 years of relevant experience. Experience in the Healthcare/Retail industry will be advantageous.
• Proficient in both English and Chinese. Chinese is a must as the job requires communication with Chinese-speaking associates.

• Resourceful and independent with strong ability to work in a team.

Responsibilities:

Administrator:

· Support the principal in managing daily operations and administrative tasks;

· Assist with enrollment documentation and respond to parent inquires;

· Input data into the CMS system (e.g. subsidy details, enrollment information, Parent particulars and infectious diseases reports etc);

· Update child and parent particulars, enrollment details in the Preschool Management System;

· Register data on the ONE ECDA website (e.g. new teacher particulars, LON etc);

· Track and collect fees, follow up on outstanding payments and issue receipts to parents;

· Keep accurate and proper records of student p-files to meet ECDA audit requirements;

· Assist the principal during internal and external audits;

· Assist parents with the purchase of merchandise and enrichment program items such as uniforms, caps, books, etc;

· Conduct regular stock-taking, restocking and ordering of supplies such as stationeries, merchandise, groceries and other essential items;

· Coordinate and monitor training and development program and employee engagement activities;

· Prepare and submit monthly school fee assignments and CDA collection lists and management report;

· Assist teachers with routine care tasks when required;

· Attend monthly department and administrative meetings;

· Promote and recruit new enrollments for the preschool

· Support marketing initiatives such as planning and executing marketing strategies to increase public awareness of the preschool;

· Design marketing materials and resources to promote school;

· Plan and coordinate enrichment programs to align with the centre’s objectives and meet parents’ needs.

· Handle any other ad-hoc duties assigned by superiors.

HR:

· Handling full spectrum of HR functions including recruitment, new employee onboarding and existing

· Set up interviews and issue relevant correspondence

· Review and administer Employee Handbook, HR policies and procedures and ensure compliance

· Develop and maintain relationship with employment agencies, universities and other recruitment sources

· Identify the company-wide training needs through annual performance review exercise etc and prepare the Training Plan for the Company

· Recommend, develop and schedule training and development courses

· Identify and set up the job scope and functions and specific duties and
responsibilities

· Manage day-to-day HR issues and employee relations.

· Requirements:

· Minimum Diploma or above At least 2 years of relevant experience.

Responsibilities:

• Ensure compliance to all legal statutory regulations including audit and company's requirements in C&B function
