Job requirement

· A degree in any discipline with at least 10 years of working experience in the field of HR. Candidates with a graduate diploma, degree or other professional certifications in HR will be advantageous;

· Good interpersonal skills to engage multiple stakeholders;

· Strong analytical and problem-solving skills;

· Ability to display good listening skills and to communicate with all levels of employees with empathy;

· In-depth knowledge of Employment Act, Industrial Relations Act and HR best practices;

· Supervisory experience is required for this role.

What you'll be doing

• Responsible for processing monthly payroll, overtime claims, allowances, and staff benefit claims.
• Administration of NS, Maternity, Paternity, and Childcare Claims.
• Tracking of attendance records, leave administration, and statutory claims.
• Work with site administration on payroll matters.
• Ability to churn our payroll and HR data-related reports on a regular basis.
• Ensure all payroll processes are aligned with MOM guidelines and internal policies and procedures.
• Ensure timely processing of monthly salary, CPF, FWL, relevant allowances, and contributions to government agencies

We’re looking for

• Min. Diploma / degree in Human Resources or equivalent.
• Min. 3 years of working experience in processing and managing payroll for exempt and non-exempt employees.
• Preferred proficiency in using Unit4 or Prosoft, Time and Attendance software, and Microsoft Excel.
• Good knowledge of Singapore Employment Act and personal income taxation under IRAS.
• Strong proficiency in Microsoft Office applications – Words, Excel, Powerpoint.
• Meticulous, able to work independently and a fast learner with strong organizational skills.

TITLE : Administrator – Human Resources & Administration

REPORTING TO : Senior Manager - Human Resources & Administration

COMPENSATION : S$10.00 – S$12.00 per hour

WORKING WITH : TVSM and TVSD Singapore

WORKING DAYS : 5 days work week; Mondays - Fridays

WORKING HOURS : 0830 hrs to 1730hrs

DURATION : 3 months

Job Summary:

The HR Admin will support the Human Resources department by managing and organizing employee personnel files (p-files), ensuring the accuracy of employee data, and assisting in the revamping of HR data management system. This role will involve significant interaction with employees to verify and collect necessary documentation, as well as performing internal audits of HR data.

Key Responsibilities:

1. Employee:P-Files Management:

• Organize and maintain accurate and up-to-date employee personnel files.
• Ensure that all required documents are filed correctly and are easily accessible.
• Verify the accuracy of employee data within p-files.

2. Data: Verification and Collection:

• Communicate with employees to verify the accuracy of their personal and employment data
• Collect any missing documents or information required for p-files.

3. SharePoint Data Revamp:

• Assist in the restructuring and updating of HR data on SharePoint.
• Ensure that all HR data on SharePoint is current and accurately reflects the latest information.
• Ensure all hard copy employee data are available on SharePoint

4. HR Employee Data Internal Audit:

• Conduct an internal audit of employee data to ensure compliance with company policies and regulations.
• Identify discrepancies and work with relevant parties to rectify any issues.

5. Administrative Support:

• Provide general administrative support to the HR department.
• Handle ad-hoc duties as assigned by the HR team.

Qualifications:

• Previous experience in an administrative or HR support role is preferred.
• Proficiency in Microsoft Office, especially Excel and SharePoint.
• Strong organizational skills with attention to detail.
• Excellent communication skills, both written and verbal.
• Ability to manage multiple tasks and meet deadlines.

Job Description:

• Perform HR functions including Payroll, Employee data maintenance, Training administration and day to day HR process.

• Process Monthly payroll for employees using Opensoft for approximately 150 headcounts

• Leave administration for e-Leave portal

• Generate monthly payroll reports and handle payroll related enquiries

• Responsible for Work pass applications, renewals and cancellations

• Prepare and draft Letter of Appointment, Letter of Confirmation and other employment related contracts

• Timely submission of CPF contribution, IR21 and yearly income tax filing

• Submission of government-paid claims such as Training Grants, NS claims, Maternity Leave, Childcare Leave and other government related claims

• Handle MOM Surveys, apply WP, S Pass

• Maintaining personnel files and keep HR related information updated

• Involve in the implementation of new HR initiatives, projects and policies

• Assist in the reviewing of Employee Handbook annually

• And other ad-hoc duties as assigned.

Requirement

• Minimum Diploma in Human Resource Management and Business Management or related field

• At least 5 years of relevant working experience

• Worked in Food & Beverage (F&B) industry will be an added advantage

• Knowledge of Singapore Employment Act

• Able to maintain close and effective personal working relationships at all levels of the organization

• Ability to work independently with little supervision, resourceful, meticulous and organized

• Good team player with interest to learn

• Proficient in Microsoft Words / Excel / Power Point

• Knowledge of Opensoft Payroll will be an added advantage.
