Basic Purpose/Accountabilities:

Reporting to the Supervisor, Singapore Clean & Renewables Scheduling, the Operations Assistant (Contract) position will be responsible for providing operations administrative support to the Renewables Scheduling team for the Asia Pacific region. The contract period is for an initial period of 6 months, subject to extension as required by the business.

Primary Responsibilities:

SAP system responsibilities

• Verify secondary costs invoices against vendor agreements
• Record and perform SAP entries for approved secondary expenses invoice (inspection fees, tankage related charges, commission fees etc)
• Handle SAP ticketing activities to ensure accurate reflections of daily Ops activities/ month end inventory ticketing/ roll-over

Operations support:

• Support operational internal audit for import/export compliance document
• Endorse & arrange for despatch of cargo BLs documents to 3rd parties
• Maintain proper e-documentation
• Support scheduling group on retention record activities (DRM)
• Consolidate documents for Renewables shipments (Annex VII & Marpol docs), coordinate amendments if necessary

Basic / Required Qualifications:

• Minimum Diploma in Maritime/ Logistics/ Computer Science/ Business Administration/ Operational Audit
• Self-motivated individual with an eye for details and accuracy
• Strong SAP & MS Office knowledge and good communication skills
• Previous SAP experience will be an added advantage
• Demonstrates ability to collaborate effectively with the front office to resolve problems

Preferred Skills:

• Minimum one year of administrative support experience in scheduling or shipping functions

Job Responsibilities:

· 60% - Provide procurement & admin support to the Indirect Procurement Regional Lead. · 20% - Support the maintenance of central repository filling tools for all Indirect Procurement documents, contracts, tenders, etc

Job Requirements

· 5+ years of experience in supporting sourcing activities across multiple markets for mixed categories, preferably in store construction, store maintenance and / or visual merchandising.

· Strong technical skills in project Management / Construction experience with the ability to read and understand technical drawings, store and visual layouts.

· Proficient in Windows Office. Necessary ERP systems, SAP, Ariba beneficial.

Responsibilities:

• Assist the Order Fulfilment Executive in local and export order fulfilment.
• Order entry into the system, process picking slips and coordinate with warehouse production for delivery.
• Manage the delivery schedule and coordinate with a team of sprinters/couriers to ensure on-time delivery.
• Assembly input into ERP
• Manage Instantaneous update of POD to customer
• Outward Courier booking.
• Coordinate yearly stock take.
• Ad-hoc tasks as assigned

Requirements:

• O Level / Nitec / Diploma.
• Minimum 2 years of working experience in order fulfillment/freight forwarding preferred.
• Sound knowledge of import/export processes is an added advantage.
• Proficient in MS Office applications.
• Good team player and willing to learn.
