Responsibilities

Job Purpose:

The Overseas Operations Support serves as a crucial contributor to the management of HR Operations for the whole group of companies regionally, excluding China. The primary focus is to support the HR Director in running the organization, establishing best practices, and actively contributing to the enhancement of existing HR processes for efficient management.

Roles and Responsibilities:

• Perform the full spectrum of HR functions, not limited to payroll and insurance and also to act as Benefits advisory and support for all regional offices except China.
• Administer and coordinate benefits enrolment and renewals, leave of absence, worker’s compensation processes, health insurance, retirement plans, travel and visa arrangement, training, and other fringe benefits.
• Conduct market reviews to design strategies for proposals ensuring Company benefits packages and policies are compliant.
• Manage and process payroll & benefits and handle employee-related issues for regional offices.
• Ensure local compliance with employment laws, regulations, and other statutory HR requirements.
• Deliver HR Operational tasks efficiently within service level agreements (SLAs), including but not limited to onboarding, offboarding, transfer, assignments, employment pass, and HR queries.
• Develop effective communication and relationships with internal stakeholders and external vendors (outsourcing service partners) to achieve seamless operations.
• Stay informed about changes in employment laws and regulations, ensuring organizational compliance.
• Work with legal counsel as needed to address HR-related legal matters.
• Develop, review, and implement HR policies and procedures to ensure compliance with legal requirements and alignment with organizational goals.
• Communicate and educate employees on HR policies and procedures.
• Compile and analyze HR metrics to support data-driven decision-making.
• Prepare regular reports on HR activities, trends, and metrics for management.
• Assist in other ad-hoc HR duties as required.

Requirements:

• Degree in Human Resource/Business Admin or a relevant field.
• Minimum of 8 years' Human Resource experience, with prior HR generalist/business partnering experience for a commercial team in JPAC being an advantage.
• Strong business and HR acumen, including problem-solving skills and critical thinking.
• Positive attitude and high energy level.
• Self-reliant, resourceful, and able to work independently.

Responsibilities:

· Ensure employees conforming to company’s policies and regulations.

· Ensure company conforming to government’s regulations, e.g. Employment Act, CPF ,MOM regulations and etc.

· Monthly Income Tax, CPF and other relevant contribution preparing.

· Meeting and solving government issues with their respective officer.

· Responsible for employees’ EA form.

· To enforce and review the company’s policy, employees guidelines & updating the employee’s handbook.

· Participate in company’s policies and regulations formulation.

· Responsible for the preparation, coordination of recruitment, and arrangement for interview.

· Prepare monthly payroll and maintain the payroll records for employees to ensure its accuracy and completeness.

· Provide work related or personal counselling for employees.

· Execute and prepare the performance appraisal for employees for year end bonus and annual increment reports.

· Prepare monthly HR reports as required by superior.

· To handle employee’s exit interview and domestic inquiry.

· To conduct induction program for new staff.

· Provide solutions and proposals to meet departmental quality objective.

· Checking punch cards & update leave, medical & training record from time to time.

· Revised HR procedures and forms for running HR operations smoothly.

· Preparing and updating correspondence letters and memo to all employees.

· Employee Personal Files and HR System updating & backup from time to time.

· Customized reports layout by reprogramming accordingly to the needs of Management or other departments.

· Problems analysing and solution proposing to Management when needed.

Academic Requirement:

Diploma in Human Resource Management or higher

Experience/ Skill:

▪ With at least 2 years’ experience in Human Resources environment.

▪ Resourceful, mature, good interpersonal and communication skills

▪ Confidentiality, tactful and discretion when dealing with people.

▪ Well versed in Employment Act and Industrial Relation.

▪ Computer literate.

Duties and Responsibilities:

1. Support in the full spectrum of HR operations and end-to-end employee lifecycle processes, such as recruitment, onboarding, training, offboarding etc.
2. Provide HR administrative support, such as administer work passes and employment contracts, process claims/invoices, prepare monthly reports and maintain personnel files and system records etc.
3. Coordinate in-house courses, administer training budget and external course registrations.
4. Assist in the review and implementation of HR policies and practices, and handle day-to-day employee queries.
5. Plan and organise employee engagement activities.
6. Handle office administration matters, which includes employee travel management, procurement of office stationery, equipment and other supplies etc.
7. Support in other relevant duties as assigned.

Requirements:

• Minimum Diploma with at least 3 years working experience in HR and Admin. Fresh Degree graduates are welcome to apply.
• Good team player with the ability to work in a fast-paced environment and manage wide breath of generalist scope.
