ROLE OVERVIEW

As part of the SEA Finance team, the Finance Assistant plays a vital role providing accurate and timely support to the finance function and wider business. You will be responsible for a variety of tasks related to accounts payable, client billing, intercompany transactions, and month-end reporting, Staff travel & Administration . The successful candidate will be highly organised, detail-oriented, and possess excellent communication skills. JOB DUTIES & RESPONSIBILITIES

— Accounts Payable: Booking of vendor invoices and payment in system. Handle vendor and staff inquiries regarding accounts payable. Ensure completeness of supporting documentations for payment. Leading payment cycle run. Assist in preparation of purchase orders when required.

— Inter-Office Agreements: Ensure all Inter-Office Agreements are properly filed and maintained within designated project folders.

— Month-End Reporting: Assist the team with the preparation and completion of month-end reporting requirements - Maconomy, Cartesis and IC module and adhoc reports required by Finance and other departments

— Month-End Closing: Reclassification entries, Prepayments, and recurring monthly journals

— Client & Intercompany Billing: Timely and accurately bill clients and intercompany counterparts, ensuring invoices are uploaded to relevant client portals. Booking of receipts in system.

— Credit Notes & Revenue Adjustments: Prepare documentation and seek appropriate approvals for credit notes, revenue reversals, or write-offs, adhering to company policy.

— Audit Support: Provide support during internal, external, and client audits, as required.

— Intercompany Reconciliation: Assist with intercompany reconciliation processes, including leading calls with other offices to resolve discrepancies.

— New Client/Vendor Setup: Support the setup of new clients and vendors in the system, ensuring accurate information is captured.

— Travel Support - Booking of frequent travel for APAC team members

— Admin support to SEA and wider APAC offices- Provide comprehensive administrative support to ensure efficient office operations

— HR support - On-boarding & off-boarding employees including, but not limited to, asset, equipment, and system administration

— Revenue Recognition: Obtain and file supporting evidence for month-end revenue recognition within designated job folders.

— Ad-hoc Duties: Perform other duties and special projects as assigned by the Finance/Commercial Director

Key Responsibilities:

General Administrative Duties

· Carry out daily administrative tasks to ensure efficient office operations.

Data Management

· Accurately input and update information in company databases and filing systems.

· Organize, store, and retrieve documents systematically to ensure easy access for the team.

· Maintain data integrity by regularly reviewing and updating records.

Administrative Support to Teams

· Assist various departments with administrative tasks, including preparing documents, reports, and presentations.

· Handle mail administration, including sorting, distributing incoming mail, and managing outgoing correspondence.

· Provide support for data entry and information compilation as requested by team members.

Ad-hoc Duties

· Perform additional tasks and support projects assigned by management to contribute to the overall efficiency of the office.

Qualifications and Skills:

· Education: Minimum GCE ‘O’ Level or equivalent; a diploma in administration or related field is an advantage.

· Experience: 1–2 years of experience in an administrative role is preferred but not required.

· Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with data management systems.

· Communication Skills: Good verbal and written communication skills to facilitate effective team support.

· Organizational Skills: Ability to multitask, prioritize, and maintain an orderly and efficient workspace.

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the director in managing daily operations and driving strategic initiatives.

Key Responsibilities

Administrative Support:

• Manage the Director’s calendar, appointments, and scheduling.
• Organize meetings, prepare agendas, and take meeting minutes.
• Handle correspondence, emails, and phone calls on behalf of the Director

Project Coordination:

• Assist with planning, coordinating, and monitoring key projects.
• Research and compile information for presentations and reports.
• Track deliverables and ensure deadlines are met.

Stakeholder Engagement:

• Act as a point of contact for internal and external stakeholders.
• Facilitate communication between director and teams across the organization.

Office Management and Administrative:

• Assist in ad-hoc arranging and transfer payment to company suppliers and personnel.
• Maintain confidentiality of sensitive information and ensure data security.
• Assist with ad-hoc office-related administrative tasks to support Director when needed.

Requirements

• Diploma/Degree in Business Administration, Management, or a related field.
• Proven experience as an Executive Assistant or in a similar role (1+ years preferred).
• Excellent organizational and multitasking abilities.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
• Ability to work independently with a high level of discretion and professionalism.
• Good interpersonal skills and a proactive approach to problem-solving.

Job Responsibilities:

Job Description

• Assisting the Cook with the preparation of meal ingredients, which includes washing, cleaning, peeling, cutting, and chopping vegetables, fruit, poultry, and meat.
• Washing, Chopping, Shredding and Grating ingredients
• Properly cleaning and sanitizing all food preparation areas according to established standards of hygiene.
• Washing and appropriately storing all cooking appliances, instruments, utensils, cutting boards, and dishes.
• Promptly transferring meal ingredients from storage areas to the kitchen as per the Cook's instructions.
• Assisting with the unloading of delivered food supplies. Organizing and correctly storing food supplies.
• Cleaning the food preparation equipment, floor and other kitchen tools area

Job Requirements:

• At least 2 years of proven experience assisting in kitchens.
• Able to work under pressure in a fast-paced environment.
• Good knowledge of food health and safety regulations.
