Position Summary

The Guest Experience Executive’s main role is to deliver an exceptional experience for all of our learners via face-to-face or online platforms. He/She should have a pleasant personality and is professional when communicating with stakeholders. He/She is required to be familiar with video conferencing software and tech savvy.

He/She is required to be service-oriented. Proactive in looking after our learners' needs. Able to work independently and with teams. Prepared to handle multiple and concurrent tasks and is willing to work on compressed work week and long hours.

When supporting Face-to-Face programme, He/She will be tasked to:

• Setup and teardown training rooms and support activity used to facilitate learning and experience
• Usher and register learners in accordance to internal SOP and government compliance
• Facilitate activities during learning sessions (e.g. role playing)

When supporting remote learning programme, He/She will be tasked to:

• Assist learners that have issues accessing the video conferencing platform (e.g. Zoom)
• Assist trainers in facilitating activities during the remote learning sessions (e.g. breakout rooms)
• Prepare collaterals for remote learning parcels - Assist learners that have issues accessing the video conferencing platform (e.g. Zoom)

Key Responsibilities

Execute Event Plans

• Support learner's registration and attendance tracking throughout event duration
• Execute pre, during, and post-event specifications and requirements in a timely manner in accordance to defined SOP and government regulations
• Event manage event changes between client, internal, and external stakeholders during programme day
• Coordinate logistics and resources across the organization and products and services
• Maintain the safety of an event by addressing security risks originating from within and outside, encompassing both natural occurrences and human-caused incidents.

Managing Stakeholders and Guest Experience

• Attend to inquiries and feedback from stakeholders, ensuring their concerns and suggestions are acknowledged and addressed professionally and in a timely manner.
• Communicate with internal stakeholders on event requirement to ensure smooth execution
• Deliver exceptional hospitality and go the extra mile to elevate the guest experience pro-actively
• Support Head of Department to implement departmental or cross-functional initiatives

Operational Excellence

• Evaluate how latest technology trends can be leveraged to spur innovation in participants' experience
• Evaluate how current workplace technology approaches can be improved to raise productivity

Maintain Venue Facilities

• Ensure that the venue is fully operational and ready to host events in compliance with venue facilities inspection protocols
• Execute venue repair operations protocols to correct identified failures in routine inspections
• Raise status reports of venue conditions to recommend follow-up actions
• Execute improvements of venue in conjunction with updated standard operating procedures

Logistics Management

1. Coordination of Shipments and SuppliesPlan and manage the timely procurement, transportation, and delivery of parts, tools, and materials required for ship repair projects.
   Coordinate with suppliers, vendors, and shipping agents to ensure critical components reach the repair site on time.

   Implement protocols for the issuance and return of tools and equipment.

This position is responsible for leading a team of 2–3 purchasing professionals, overseeing all aspects of the procurement process, negotiating with suppliers, ensuring the timely and cost-effective delivery of materials and equipment for newbuilding, conversions, and repair projects, and maintaining a reliable supply chain to support ongoing construction and maintenance activities. The role also requires close collaboration with cross-functional teams and a focus on managing tight budgets, mitigating risks, and ensuring the highest standards of procurement performance.

Tasks and Responsibilities

• Lead and manage a team of 2–3 purchasing professionals by setting clear goals, delegating tasks, providing regular feedback, and conducting performance evaluations to foster a high-performing team.
• Develop and implement strategic procurement plans aligned with the shipyard’s objectives. Continuously monitor market trends and industry developments to make informed and cost-effective purchasing decisions.
• Identify, evaluate, and select suppliers based on key criteria such as quality, reliability, and cost-effectiveness. Cultivate strong, long-term relationships with suppliers to ensure a steady and dependable supply of materials and services.
• Negotiating contracts, pricing, conditions, and terms to achieve cost savings and meet quality standards. Draft and review contracts, ensuring compliance with legal and company requirements.
• Ensure the on-time and cost-efficient procurement of materials and services by placing orders, monitoring delivery schedules, and proactively addressing any issues that arise.
• Maintain adherence to all internal purchasing policies and procedures. Ensure that all procurement transactions are properly authorized, and that documentation is thorough, accurate, and up to date.
• Collaboration with cross-functional teams within the shipyard to ensure that the purchasing function supports the overall business goals and communicates effectively with internal stakeholders and external suppliers.
• Identify and mitigate potential risks related to procurement, including supply chain disruptions and quality issues.
• Drive continuous improvement initiatives within the purchasing department to enhance efficiency and effectiveness.

Job Requirements

• Diploma or bachelor’s degree in supply chain management, business, or a related field.
• 5 ~ 7 years of experience leading a procurement or supply chain management team, with a track record of progressively increasing responsibility.
• Proven ability to lead, motivate, and manage a team, fostering a collaborative and performance-oriented environment.
• Proficiency in procurement software, Microsoft Office applications, and SAP systems is highly preferred.

Perform a range of support tasks in the supply chain of business operations and logistics and provide assistance to team members.

Skillset

• Handling of enquiry for quotation, create quotation in ERP and sending quotation to customer.
• To process orders, create job numbers, open job files & assign Project number.
• Receive of client order confirmation and co-ordinate with internal department for execution.
• • Email communication/correspondence with client for readiness and delivery instruction
• Issuance of Delivery Order and liaise with SCM for collection & delivery
• To manage time and coordinate all aspects of the job that is assigned by Sales Engineer and Business Manager.
• Preparations of shipping documents & liaise with shipping/forwarding company for exporting of goods
• Raise purchase requisition form (PR), PR’s to supply chain department to issue PO to supplier.
• Check supplier’s invoice for payment and close required Job files that has been forecast for the month and print out job costing sheet and quotation to review by sales manager.
• Ensure all vendor invoices are submitted for processing of payment and filed in Job files.
• Keep track of each milestone of every ongoing project and invoice customer accordingly.
• Before actual issue of billing invoice to customer, drafting specification of invoice is to prepare with all necessary print including quotation, customer PO, email confirmation and onsite timesheet and general expenses for checking and approval by Business manager.

Responsibilities:

• Handling all indoor sales activities including new customer registration, preparing quotation and order management.
• Maintain quotation and sales order record and submit to management weekly.
• Contact oversea customers following sales calls to ensure ongoing customer satisfaction and resolve any complaints.
• Coordinate with other department to ensure sales process smoothly.
• Manage customer credit file up to date.

Requirements:

• Good command of written and spoken in English and Korean to communicate with Korean customers by email and calls.
• 1-2 years works experiences, no experience are also welcome.
• Proficient in Microsoft Office.
• Able to work independently with minimum supervision.

Requirements for Hiring Freshers or Candidates with 1 Year of Experience:

Educational Qualifications:

1. Bachelor's degree or diploma in Accounting, Finance, Business Administration, or a related field.

Skills:

1. Basic knowledge of accounting principles and financial regulations.
2. Proficiency in MS Office (Excel, Word) and familiarity with accounting software like QuickBooks or Tally.
3. Good analytical, problem-solving, and numerical skills.
4. Strong communication and interpersonal abilities.

Attitude and Soft Skills:

1. Willingness to learn and adapt to new systems.
2. Attention to detail and organizational abilities.

Optional Preferences:

1. Internship or coursework in construction finance/accounting is an advantage.
2. Certifications (e.g., ACCA Fundamentals, CAT) may be desirable but not mandatory.
