Responsibility:

Security Assessment, Planning, and Control

• Ensure compliance and proficiency of cloud services and virtual environments.
• Perform annual and on-demand security reviews for cloud outsourcing as required by the Head Office, local regulators, and the outsourcing committee.
• Carry out monthly security access evaluations for the Human Capital Management Department.
• Create, implement, and review security policies and user access matrices to protect employee data.
• Address security incidents reported by the compliance team and carry out necessary corrective measures.
• Develop and deliver training and awareness sessions for the Human Capital Management Department.
• Assess and recommend new security tools and technologies.
• Ensure timely application of the latest patches across all Human Capital Management systems.
• Design and test disaster recovery and business continuity plans to maintain infrastructure resilience.

Project Management

• Participate in the HRIS project team in a designated role, such as Project Manager or Security/Data Subject Matter Expert, ensuring smooth planning and execution from start to finish.
• Serve as the Human Capital Management Department’s Subject Matter Expert (SME) for all infrastructure security and data integration aspects of automation projects. Collaborate with the Japan Head Office Security team to implement solutions in line with security regulations, including compliance with PDPA as necessary.
• Act as a liaison between end users, the Human Capital Management team, and the IT department as needed to comprehend business requirements for HR-related Cloud (SaaS) solutions.
• Prepare and deliver regular project updates while ensuring thorough documentation of business requirements and changes.
• Develop budget proposals for identified project initiatives, engaging and negotiating with the Japan Head Office for their support where applicable.
• Advocate for digital transformation initiatives by helping users understand the purpose of changes being implemented.

Job Requirements

• Bachelor’s degree in Information Technology, Computer Science, or a related field with approximately 5-7 years of experience in IT services for financial institutions.
• Experience with implementing regional projects.
• Proficiency in Japanese is preferred, as this role involves communication with stakeholders in the Japan Head Office Security Department.
• Comprehensive understanding of cloud platforms and security; or the ability to quickly learn and adapt to evolving technologies in the industry.
• Strong techno-functional aptitude, particularly with SAP SuccessFactors, is beneficial.
• Familiarity with MAS cloud outsourcing practices is a plus.
• Strong stakeholder management skills are essential.
• Capacity to thrive in a fast-paced environment with shifting priorities while maintaining motivation for continuous learning in work-related areas.
• Willingness to take on ad-hoc projects, such as leading minor initiatives or managing change requests as time permits

Overview

Candidates are required to be an enthusiastic, proactive and motivated individual with real passion for new age digital transformation profession who would work closely with our Division Manager and (internal / external) stakeholders to ensure the successful delivery of services.

To succeed in this role, the PMO should possess the quality of a PMO professional who will have a proven track record in planning, coordination, and management of large-scale banking projects, ensuring timely and successful delivery. You would also work closely with the client’s internal/external stakeholders to track and implement solutions that relates to quality or process requirements.

Key Area of Responsibilities (KAR):

• Project scheduling and resource planning, considering dependencies.
• Management of project issues and document creation for management reporting.
• Setting evaluation criteria (e.g., Critical Points) and coordinating with related departments (e.g., IT, Compliance).
• Responding to regulatory requirements and supporting administrative tasks.
• Regularly reporting on progress, challenges, and solutions to leadership.
• Planning: Project scheduling and resource planning for projects overall considering dependency of each of them.
• Management of project issues
• Document creation and related adjustment in management reporting
• Setting CP or other criteria for evaluation
• Coordination with related departments and managements throughout the Bank (Front Office, Transaction banking, Compliance, IT, etc.)
• Responding to the authority’s requirements changes and updates.
• Support for other administrative tasks and other adhoc duties.

Requirements:

• Proven experience in PMO roles, particularly in large-scale banking or financial services projects.
• Strong understanding of project scheduling, resource planning, and issue management.
• Knowledge of regulatory requirements in the banking sector, including compliance and risk management.
• Excellent communication and interpersonal skills, with the ability to work effectively with cross-functional teams and senior leadership.
• Ability to manage multiple projects simultaneously, with a keen attention to detail and a proactive approach to problem-solving.

Responsibilities:

• Manage full spectrum of HR functions, including recruitment and orientation, training, payroll and IR8A submission, work pass dormitory arrangement, incident reporting, medical, insurance and work injury claims, employee profiles and leave management, overseas deployment, promotions and resignations.
• Coordinate with Operations Department in project executions, including fulfilling manpower requirements, site registrations, inductions, swab test registration.
• Implement HR-related programmes and policies, apply for HR-related certifications and grants, establish internships and industrial attachments with educational institutions, participate in recruitment fairs and organise Company events.
• Perform asset, inventory and financial reconciliation with Accounts Department and generate monthly reports for Management.
• Use HR and payroll softwares as well as Enterprise Resource Planning system to complete daily tasks and assist in the implementation and improvements of the systems.
• Ensure procedures, products and services rendered comply to Company policies, government regulations and ISO standards.
• Maintain historical records for annual accounting and ISO audits.
• Undertake additional tasks and responsibilities when required or as instructed.
