Responsibilities:

• Assist with overall HR strategies, initiatives, policies and processes
• HR Generalist functions including talent acquisition, talent management, employee engagement, and learning
• Administer HR operational functions related to employees data management, leave administration, employee benefits administration, and medical claims
• Maintain accurate employee records and databases including personnel files, attendance records, and performance evaluations
• Handle work pass applications and ensure compliance to MOM regulations
• Consolidate HR reports/analysis and generate statistical reports as and when require
• Provide advice to employee on HR-related matters to foster positive employee relations
• Oversee office administrative tasks, including managing office supplies, facilities maintenance, and coordination of office events.
• Ensure compliance with relevant labour laws and regulations, as well as company policies and procedures.
• Manage flights and hotels bookings for employees including travel visa applications

Pre-requisites:

• Diploma/Degree in Human Resource Management or Business Administration
• Proficient in Times Software HRMS and Microsoft PowerPoint / Excel
• Good communication skills with the ability to engage stakeholders at all levels
• Able to roll up sleeves and dive into details with commitment to meet target and objectives

Responsibilities and Duties

• Responsible for monthly payroll administration and processing for various agencies in an accurate and timely manner in compliance with statutory requirements.
• Ensure timely submission of tax filing and monthly CPF for employees.
• Administer and submit all Government paid leave claims within stipulated timelines.
• Maintain and update the payroll system to ensure that all requirements comply with applicable laws and regulations.
• Ensure all employee personnel files and HR records are maintained and regularly updated.
• Manage employees' queries and external auditors on payroll audit.
• Administer employee claims according to the Organisation's policies and procedures.
• Support the manpower budget exercise and track the costings on a monthly basis.
• Assist in recruitment process to review and recommend candidates for the position advertised and conduct reference checks.
• Administer exit interviews and exit clearance of outgoing employees.
• Manage local statutory surveys and questionnaires.
• Assist in organising welfare activities and events.
• Assist in the administration of learning and development initiatives and activities.
• Assist in the renewal of corporate insurance and to process insurance related claims.
• Prepare HR related statistics as and when required.
• Any other adhoc projects/tasks as assigned by supervisor.

Job Requirements

• Diploma or Degree in Human Resources from an established institution.
• At least 5 years of working experiences in HR functions and specialist experience in payroll administration.
• Good knowledge of Employment Act and HR practices and regulations.
• Must be meticulous, analytical and have an eye for details.
• able to mutli-task, work independently and prioritize to meet deadlines.
• Strong spoken and written communication skills. Able to communicate effectively across many levels of committees headed by clergy and laity.
• Proficient in MS Office Application (Word, Excel, Powerpoint).

• Assist in compiling data for the Human Resource Budget.
• Maintain an efficient HR system to provide timely and updated information to management and departments.

Employee Relations:

• Offer counseling services to help staff perform their jobs more effectively.
• Provide guidance on recruitment, training, development, staff welfare, compensation, and retention.
• Advise Department Heads and Managers on HR matters following policies, procedures, and local laws.
• Assist in creating and updating HR policies and procedures.
• Review existing HR policies and practices and explore the feasibility of standardization.
• Interpret hotel policies to key personnel and ensure strict compliance.
• Approve part-time and overtime requisitions for departments.
• Establish an effective communication system between the hotel and employees.

Industrial Relations:

• Handle all industrial relations issues, including collective bargaining with unions, resolving employee disputes, and conciliating with unions/ministry.
• Conduct Board of Inquiry for disciplinary issues and recommend actions to maintain staff discipline.
• Foster and maintain a positive relationship with the union, liaise with union officials on industrial relations matters, and resolve grievances in line with legal requirements.
• Develop and implement HR and industrial relations policies, guidelines, and practices for the hotel.
• Review employee-related activities to ensure compliance with local legislation, safety regulations, and legal requirements.
• Network with other hotel HR practitioners to stay aligned on salary administration, compensation, and benefits.

Training:

• Work closely with Department Heads to assess training and development needs, maintaining open communication to improve employee skills, attitudes, and knowledge.
• Monitor training expenses to ensure they stay within budget.
• Prepare monthly and yearly reports on training activities.
• Oversee the maintenance of training records and ensure they are updated regularly.

Welfare:

• Promote a healthy work environment through sports and recreational activities.
• Ensure the maintenance of staff facilities to create a motivating environment.
• Oversee the upkeep of the staff cafeteria and ensure the provision of nutritious meals.
• Ensure all notices are displayed on the staff canteen notice board.
• Assist employees with welfare-related matters.
• Manage medical costs and ensure adequate insurance coverage.
• Perform any other duties as assigned by management.

Performance Management:

• Collaborate with department heads to create effective performance reviews and SMART plans to measure individual performance and identify areas for improvement and challenges.

Career Management, Succession Planning & Outplacement:

• Work with top management to:Identify high-potential associates.
  Develop career programs for key employees to support the company’s growth.
  Create programs and timelines to facilitate smooth transitions for employees entering or exiting their positions.

Requirements:

• With Diploma or Higher in related field.
• At least 3+ years of experience in related working experience.
• Well-versed in MS Office Applications.
• Excellent communication skills
