Position: Team Lead – Documentation (Bonded Warehouse, 3PL & Trading Industry)

Key Responsibilities:

Documentation Management:

• Lead the documentation team in preparing, reviewing, and processing all necessary documents for import, export, and re-export activities, including the submission of Shipping Instructions, Bills of Lading, Commercial Invoices, Packing Lists, and Certificates of Origin.
• Directly manage the preparation of documentation for both 3PL (Bonded Warehouse) and Trading operations.
• Ensure accurate and timely submission of customs documentation using TradeNet.

Shipment Coordination:

• Coordinate with carriers and forwarders to book container space for shipments, ensuring timely bookings to prevent delays.
• Manage the logistics for import, export, and re-export shipments, liaising with carriers to facilitate smooth operations.
• Monitor the status of incoming and outgoing shipments, handling Arrival Notices, Bills of Lading, Switch BL, and other shipment-related documentation.
• Serve as the primary point of contact for resolving issues related to shipment documentation or delays.
• Check Estimated Time of Departure (ETD) and Estimated Time of Arrival (ETA) on Portnet.
• Arrange shipments with hauliers to ensure timely delivery.

Communication:

• Act as the main point of contact for clients regarding logistics documentation, providing regular updates on shipment status and addressing any concerns.
• Coordinate with internal departments to ensure that documentation processes align
• Prepare and send quotations for 3PL services to customers.

Cost Management:

• Monitor and manage demurrage, storage, and detention charges, taking proactive steps to minimize costs.

Reporting & Analysis:

• Generate reports
• Handle administration task whenever necessary (Ad HOC Duties)

Requirements:

• Minimum ‘O’ Level/ Degree or equivalent.
• At least 3 years of experience with TradeNet and possessing a TradeNet Declarant ID.
• Strong communication skills in English, with the ability to effectively interact with bilingual clients.
• Proficiency in ERP systems, particularly in multi-currency and inventory modules, is preferred.
• Meticulous, independent, quick learner with a strong work ethic, able to work well under pressure.
• Candidates available to start immediately or with short notice are preferred.

BUSINESS ALLIANCE & DEVELOPMENT MANAGER

Responsibilities

• Actively seek out new sales and business opportunities through cold calling, networking and social media and to crystalise leads to actual revenue
• Set up meetings with potential clients and business partners to identify business development opportunities to increase the Firm’s revenue
• Engage with clients, bankers, mortgage brokers, real estate agents and other business partners effectively to foster a good working relationship and increase file count and revenue growth
• Attend and participate in events on behalf of the Firm to strengthen and build a robust business relationship
• Negotiate/close deals and handle complaints or objections from clients, business partners or prospects and share with internal teams
• Respond promptly to emails, texts and telephone calls from clients and business partners
• Establish, develop and strengthen relationships with clients and business partners
• File creation and o-ordination with the team to ensure a smooth work process
• Plan, coordinate and implement marketing strategies to promote and develop new business relationship and opportunities as well as revenue generation

• Implement and maintain internal controls to protect company assets.

Compliance and Regulations:

• Stay updated on accounting regulations and ensure the company stays compliant..
• Ensure compliance with local government requirements and timely reporting to relevant regulatory bodies.
• Coordinate with auditors and external consultant on compliance matters.

Process Improvement:

• Identify areas for improvement and increase efficiency in accounting processes.
• Implement best practices to streamline accounting procedures.
• Participate in system upgrades or implementations.
• Perform other related duties as assigned by immediate superior.

Job Requirement

• Diploma or Accounting qualifications.
