Job Duties:

1. Administrative Assistant

• Provide administrative duties, like filing administrative documents, data entry

• Preparing purchase orders, delivery orders, invoices for all office related services

• Order office supplies and lift boxes of stationary

• Update Office Expenditure list

• Maintaining equipment inventories List and evaluating new equipment

• Responsible to supervise and inspect contractors' works, i.e. Security and Cleaners

• Responsible for the maintenance and upkeep of office including CCTV system, AV system, Fire Extinguishers, Furniture and all properties in office

2. Receptionist

• Manage incoming calls and direct to the intended parties

• Take and deliver timely messages to the intended recipients

• Handle all incoming, outgoing, local and international mails & courier deliveries

Requirements:

Responsibilities:

The role of the Associate is to contribute to the day-to-day management of the Studio and lead the Project team delivery of projects. A resourceful and flexible approach is required to manage multiple projects' workflow and delivery. The Associate must be able to multi-task, demonstrate initiative, and self-motivation, and be proactive in the best interest of the Company. The position requires a solid understanding of passive and active green design principles, design/project management capability, sector-specific track record, organisational skills, and teamwork in a fast-paced creative environment.

Responsibilities

• Work closely with the Principal to conceptualise design solutions and strategies
• Coordinate with Client team, project manager, consultants, and vendors
• Interface with Clients to manage expectations whilst seeking new opportunities
• Conduct site visits/inspections relating to design briefing, project technical coordination, and review
• Oversee coordination and quality standard of presentations, specifications, drawings, and FF&E packages
• Manage and review the production, e-filing, and archiving of document sets
• Manage the overall project delivery process (ie. developing the scope of services and deliverables, resource planning, schedule and budgets, invoicing, and fee collection)
• Assist to evaluate and prepare fee proposals, tenders, RFPs, design competitions, and pitches

Requirements

• Professional registration, affiliation, and/or other accreditation
• Sector-specific or academic research-specific knowledge
• Knowledge and experience in CAD and Revit preferred
• Proficiency in Adobe (Photoshop, InDesign, Illustrator) and MS Office Suite and relevant 2D/3D software
• Excellent and persuasive verbal/written communication, leadership, organisation, and presentation skills
• Excellent problem-analysis and resolution skills
• Ability to work independently and/or lead an effective team
• Able to manage sensitive and confidential information
