Job Description

The incumbent plays a pivotal role in supporting the Strategic Relations (SR) leaders in driving corporate and university engagement in our effort expanding local and regional outreach initiatives. We are seeking a self-driven individual with strong communication skills and some proven experience in proactively engaging and fostering alliances to enhance SR’s goal of forming more tangible and sustainable partnership opportunities. The individual should also be comfortable in navigating administrative matters in relation to other secretariat functions in SR, as assigned. We are looking for a proactive individual who has the agility to excel as a collaborative team player.

Overall Key Responsibilities:

• Assist SR leaders in realizing strategic goals related to corporate development, university engagement, and regional outreach
• Proactively engage with internal and external stakeholders to cultivate meaningful cooperation and partnership opportunities

Specific responsibilities:

The Job

The Operations Executive plays an important role in ensuring the smooth and efficient operation of

multiple sites within our organisation. Reporting directly to the Operations Manager, this position

involves overseeing daily operations, coordinating with colleagues at various sites, and

implementing strategies to enhance operational efficiency. The ideal candidate will be detail-

oriented, proactive, and capable of managing multiple tasks simultaneously.

Responsibilities

• Support the Operations Manager to maintain IT systems and implement digitalisation efforts across the organisation.
• Review operating processes and Develop strategies with the Operations Manager to enhance day-to-day operations of various services.
• Ensure reliability of all facilities’ mechanical, electrical, plumbing and fire safety systems, either through carrying out simple repairs or coordinating with service providers to carry the necessary works.
• Complete administrative tasks relevant to quotations, service agreements & contracts, purchase orders of inventory and supplies.
• Support any other ad-hoc duties as and when required.

Requirements

• A qualification in information operations management/information technology/business administration.
• At least 2 years of relevant working experience in similar role/multi-site setting.
• Good communication and interpersonal skills.
• Possess a keen eye for details and strong drive to see things through.
• Be able to work on weekday evenings/weekends when necessary/required.

Job Duties:

• Preparing and processing invoices, payments, and other accounting transactions in a timely and accurate manner
• Preparing stock inventories, conduct stock take on monthly basis, stock reconciliation
• Preparing tax computation for GST
• Reconciling bank statements and maintaining accurate financial records
• Assisting with the preparation of monthly and annual financial reports
• Providing administrative support to the accounting team, including data entry and filing
• Prepare audit schedules and fixed asset schedule
• Liaising with internal and external stakeholders to resolve any accounting-related queries or issues
• Ensuring compliance with relevant financial regulations and company policies

Requirements:

• Min GCE N/O Levle or Nitec / Diploma in any relevant discipline with relevant accounting qualifications
• Minimum of 1-2 years of experience in an accounting or finance-related role
• Strong attention to detail and excellent numerical skills
• Proficient in the use of accounting software and Microsoft Office applications
• Good communication and interpersonal skills, with the ability to work collaboratively in a team
• Ability to work under pressure and meet deadline
