· Manage and update data (e.g., customer and user information)

· Monitor the status of sales opportunities and create reports

· Create and update company website content and sales tools

· Support planning and operations for events (e.g., exhibitions, seminars, and webinars)

Requirements

· At least 3 years of experience in secretarial or similar roles

· Proficiency in Microsoft 365 applications (Outlook, Teams, Excel, PowerPoint)

· Good verbal and written communication skills in English and Japanese (Need to liaise with Japan counterpart and headquarter).

· Strong security awareness and information literacy

· Attention to detail and a proactive attitude towards team support

· Flexibility and the ability to manage multiple tasks efficiently

· Self-motivation and problem-solving skills

· Excellent communication skills to interact smoothly with internal and external stakeholders

Job Description:

Cartons for scanning

• Files are packed into cartons in preparation for scanning
• Creating MS EXCEL Lists: METADATA Listing & File Handover
• Upload the digital files for quality check by verifying the scanned documents with physical files

Cartons for Offsite storage

• Pack the files in the cartons and list them using MS EXCEL.
• Update the cartons numbers with serialised cable ties no. in the inventory list and vendor portal

Cartons for disposal

• Handling file disposal processes
• Segregation, listing and witnessing the disposal

General registry duties (Ad-hoc)

• Printing outgoing letters, scanning incoming documents and handling out going registered mails

Vendor Liaison

• Coordination with vendors
• For collection, delivery and disposal of cartons/files

Requirements:

• Proficiency in MS especially in Excel with knowledge of vlookup function.
• Good communication skills as need to communicate with vendors
• Meticulous and an eye for details
• Able to work independently and complete the job as scheduled
