The Project Support/Coordinator will assist in the planning, execution, and monitoring of projects to ensure they are completed on time, within scope, and within budget. This role involves coordinating project activities, resources, and communication among stakeholders to facilitate successful project outcomes.
Responsibilities
1) Reporting to senior management and performing secretarial and administrative duties.
2) Draft email, typing, formatting, and editing reports, documents, and presentations.
3) Entering data, maintaining databases, and keeping records.
4) Liaising with internal departments, answering calls, and making travel arrangements.
5) Managing internal and external correspondence on behalf of senior management.
6) Scheduling appointments, maintaining an events calendar, and sending reminders.
7) Monitor project progress and identify any issues or risks, escalating as necessary
8) Preparing facilities for scheduled events and arranging refreshments, if required.
9) Coordinate project activities and ensure adherence to project milestones.
10) Observing best business practices and etiquette.
11) Other Miscellaneous Duties
Requirements
1) Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, Adobe and PowerPoint.
2) Advanced typing, note-taking, recordkeeping, and organizational skills.
3) Ability to manage internal and external correspondence.
4) Working knowledge of printers, copiers, scanners, and fax machines.
5) Proficiency in appointment scheduling software such as MS Outlook, Zoom etc
6) Excellent written and verbal communication skills.
7) Exceptional interpersonal skills.
8) Proficient in written and spoken English and able to understand basic Chinese.
9) Preferably possesses Class 3 driving license
