Job Description: Management executive – Silverback Aircon

Position: Management executive
Location: Singapore
Work Week: 6 days
Availability: Must keep phone on standby after working hours for emergencies

Key Responsibilities:

• Assist senior management in daily operations, ensuring smooth workflow and high efficiency.
• Coordinate with technicians and support staff to schedule and manage service appointments.
• Respond promptly to customer inquiries, concerns, and feedback, maintaining the highest level of customer satisfaction.
• Manage emergency calls and coordinate after-hours responses as needed.
• Oversee project timelines, ensuring all tasks are completed within deadlines and according to quality standards.
• Implement and monitor company policies, ensuring adherence to operational guidelines.
• Collaborate with various departments to streamline communication and service processes.
• Support the development and implementation of strategies for business growth and operational improvements.

Requirements:

• Strong problem-solving skills and the ability to think on your feet.
• Excellent communication and interpersonal skills.
• Ability to work in a dynamic environment and manage multiple tasks effectively.
• Must be able to work 6 days a week and be on standby for emergency situations outside of standard working hours.
• Previous experience in management or operations within the service or HVAC industry is a plus.

DUTIES:

1) Updating OT and daily work report onto Toolroom Management System and submission to HR

2) Raise Purchase Requisition and Purchase Order in the Accounting System - Monitor

3) Update and closing of work order in a monthly basis for Finance to realise Sales Report

4) Update mold breakdown cost and submit weekly report to Toolroom Operations Manager

5) Follow up and expedite suppliers' quotation and delivery

6) Ensure that all instruments and equipments are calibrated and complied with ISO standard

7) Safety Representative for Toolroom

8) Serve as ISO documentation and internal auditor

Requirement:

– GCE ’O’ Level Equivalent and above

相等于剑桥GCE ‘O’水准文凭或以上

– Chinese and English as Main Working Languages

Duties and Responsibilities:

– Obey the Assignments and Orders delegated by Supervisor

– Issue Invoice, Schedule Delivery, and Inform Logistics

发货单、安排发货、及通知货运部

– Issue Order Summary after confirmation with customers and inform respective drivers

与客户确认后发出总单，然后通知有关司机取单送货

– Issue Cash Invoice to specific list of customers

为特定客户发出付现货单

– Follow-up with customer-accounts for payment status and schedule

向客户查询欠款付清日期

– Manage Logistics Team Group Chat and handle phone recorded messages

向物流队的简讯群组收发讯息及接听电话录音

– Handle entire week’s Bill Settlements

处理一周的销售单据

– Handle Suppliers’ Invoices

处理供应商单据

– Pack and arrange stationery, uniforms and other related office equipment

整理文具、制服及其他设备

– Ensure cleanliness of the entire office at the end of workday
