Job description:

We are looking to fill in the role of an Administrative Assistant for Sales & Logistics. The successful applicant's primary responsibility is to provide a support role in the company's sales and logistics operations. - Process customer purchase orders (POs), generate sales invoices and monitor delivery orders

- Generate report and maintain record of sales and inventory on a regular basis

- Process incoming & outgoing shipments and orders

- Manage and organize shipping documents

- Inventory management, generating of orders, D/Os, Invoices, etc.

- Data entry into inhouse ERP and CRM system (training will be provided)

- Liaising with customers and vendors on incoming and outgoing shipments

- Communicate with various stakeholders and customers to ensure job is properly explained and flow through

- Provide support for sales operations and general office administrative tasks.

- Perform other ad-hoc duties as assignd from time to time

Qualifications Required

1. Minimum 2 years related working experience in sales order processing and or logistics / shipping of building construction materials.

2. Demonstrated ability to build rapport and maintain strong relationships with customers and business operations enablers.

3. This role requires communicating with business enablers and customers from Germany and across Asia Pacific, for this reason, the candidate must have have a very good command of the English language.

4. Working experience of Microsoft Office Applications.

Position Overview

As Assistant Manager, you would be responsible for assisting in the daily management of activities and services of The Autobus continuing effort to deliver outstanding guest service and financial profitability.

Responsibilities

A. Leadership of the Outlet

1. Attend departmental meetings, line-ups, and other training as scheduled
2. Lead a small team and manage people with sensitivity and openness.
3. Be aware of clientele mix, seasonal periods, and festivities and make recommendations to management for competitive analysis and budgeting purposes

B. Maintain Guest Experience

1. Provide guests with an enjoyable and expertly served dining experience
2. Maintain complete knowledge of restaurant layout, SOP, proper table set-up etc.
3. Be familiar with all restaurant offerings to respond to guest inquiries accurately
4. Handle guest complaints following the instant pacification procedure and ensure guest satisfaction

C. Maintain Hygiene, Safety and Standards

1. Review findings from the audits conducted by the F&B Supervisor in relation to the hygiene, waste management, Standard Operating Procedures (SOPs), Workplace Safety and Health (WSH) policies and procedures etc
2. Identify operational challenges and deficiencies and work with relevant parties to formulate necessary action plans to improve operational efficiencies

• Oversee the CEO and CGS’s calendar by scheduling meetings, appointments, and travel arrangements while ensuring optimal use of time.
• Serve as the primary point of contact for executives, managing communications, scheduling, and ensuring timely updates to internal and external stakeholders.
• Arrange and compile materials for meetings, take meeting minutes, and follow up on action items to ensure timely execution.
• Handle all travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.

Requirements:

• Degree in any relevant discipline.
• At least 3 years of experience delivering secretarial support to C-Suite executives in the IT/Tech industry.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software tools.
• Excellent organizational and time management abilities, with a proven capacity to multitask effectively.
