Duties & Responsibilities:
- Coordinate the logistical arrangements of all internal community events, internal high profile whole school events and external marketing events.
- Work in collaboration with the Head of Events to plan the events calendar for the academic year.
- Maintain accurate accounting for each event to ensure budgetary accountability and update the Events Manager and/or Senior Team lead on a weekly basis.
- Liaise with our Operations Department in ensuring that event venues are fully prepared and cleared away, and are compliant with fire regulations.
- Support the Events Manager in the process of risk assessing events and putting mitigating measures in place where appropriate.
- Liaise with our security team regarding their operating procedures during events, relating both to guest site access and the management of parking.
- Liaise with the Theatre Manager in the arrangements of events utilising either our performing arts spaces or AV equipment.
- Liaise with our catering partner where any catering is required for events.
- Liaise with our purchasing staff, and on occasion purchase directly, items required for events - this may include sourcing suppliers, obtaining quotes and engaging with the design process.
- Liaise with reception to arrange transport for VIPs associated with events.
- Maintain relationships with key vendors to ensure the best service is provided to our events and manage the vendor assessment process at the end of each academic year.
- Create and deploy both ad-hoc and standardised signage for events.
- Work with the Events Manager to evaluate the success of each event by gathering feedback and metrics,and make recommendations for improvements.
