• Gather and immediately send monthly HSEQ meeting responses to boats.
• Create and upload the minutes of the shore team meetings to the ship management SharePoint site.
• Keep track of HSEQ-related tracking sheets, including incident follow-up, audit dates, and LTI free dates.
• To guarantee enough overlap with the contract administrator, be knowledgeable about contracts and contractual management.
• Assist Teekay Marine Services in assembling management reviews on a quarterly basis.

Requirements

• Preferably, you have relevant administrative experience in the marine industry or a diploma in business or maritime studies.
• Strong written and spoken English communication skills.
• Adeptness with Microsoft Office applications.

• Conduct regular inspections and risk assessments at the workplace to identify any foreseeable risk arising from the workplace or safe work processes

• Ensure all statutory regulations are comply with NEA’s requirements
• Prepare and submit weekly environmental report

Job Responsibilities:

• Skilled in planning, organizing, and executing projects within budgetary and scheduling constraints.
• Maintain open communication with clients and project team members throughout each project, ensuring smooth information flow, especially during the production phase.
• Oversee subcontractors and suppliers, ensuring interactions are well-prepared, organized, respectful, and clear.
• Develop and manage work schedules for all projects.
• Track project progress continuously and ensure timely updates.
• Work closely with Sales, Design, and Procurement teams to facilitate seamless project execution, including supporting the Sales and Procurement teams in sourcing materials as needed.
• Conduct site surveys and ensure that all project-related issues and defects are addressed.
• Provide occasional after-sales support as needed.
• Prepare quotations when required.
• Maintain an organized filing system in collaboration with colleagues.
• Provide M&E (Mechanical and Electrical) drawings, aiming to minimize disruptions and prevent production issues that may lead to financial loss, while overseeing the entire project production sequence.
• Adhere to company SOPs and KPIs for each assigned project.
• Perform any additional duties as assigned

Requirements:

• At least 1 year of experience in project management, renovation, or construction.
• Strong time management and organizational abilities, with the capability to manage multiple projects at once.
• Excellent communication and interpersonal skills for effective collaboration with diverse stakeholders.
• Proficiency in Google SketchUp and Autodesk AutoCAD is a plus.
