We are looking for an Operations Executive to join our Academic Department. Reporting to the Academic Department Manager, this role is responsible for supporting the smooth execution of academic operations and ensuring the highest standards of service delivery for students and staff.

Job Description

• Oversee and coordinate daily operations of academic courses.
• Assist in course scheduling, teacher arrangement, academic year planning, course material inventory.
• Support the onboarding, deployment, and scheduling of teaching staff.
• Monitor and analyze academic data, such as attendance, assessments, and course feedback.
• Act as the first point of contact for students and parents, addressing inquiries, resolving complaints. Communicate updates on academic progress and operational matters clearly and promptly.
• Work closely with teachers, administrative staff, and other stakeholders to address operational challenges and ensure seamless execution of academic programs.

Academic Qualifications:

• At least Diploma or equivalent

Skills Required:

• 1 year of related work experience, preferably in the education industry with PEI experience
• Ability to work independently and in a team environment
• Good communication and problem solving skills
• Ability to prioritise and complete tasks with given deadlines
• Familiar with the use of computer software such as Microsoft Office, Google Suite etc.

Responsibilities include (but not limited to):

• Handle day to day customer order enquiries, order-taking, processing, verification, amendments and cancellation through multiple channels (hotline, email, social media)
• Create and maintain customer database
• Understand customer needs and provide accurate information and suggestions to enhance customers’ experience
• Communicate across departments to ensure that orders are fulfilled
• Follow up on outstanding orders and perform call back to customers if necessary
• Provide timely service recovery to resolve problems or issues and escalate if necessary
• Collect data and feedback from customers and close the customer feedback loop
• Work as a team to achieve set targets for sales and ensure that the call centre service quality level is met
• Other ad-hoc administrative duties assigned

Minimum qualifications

• Diploma in any discipline
• Experience in customer service or contact centre will be an added advantage
