We are looking for an executive assistant/office manager to be the backbone of our Singapore office and an integral part of our success! With two successful, established offices already operating, our back office systems are already in place but that doesn’t mean this varied role will be any less busy.

Duties will include:

• General office management including ensuring the day to day smooth running of the office
• EA support to the regional director and managing director
• Organising international travel and diary management for the MD
• Building relationships and liaising with various suppliers
• CRM Management
• Reporting weekly and monthly sales figures and on internal compliance
• Invoicing
• Credit control
• Managing our social media platforms including Instagram, Facebook and LinkedIn
• Emarketing
• Website management including editing and uploading new content
• Organising internal and external events e.g. team Christmas party, client networking events and high achiever outings
• Running our quarterly CSR volunteering and fundraising
• Acting as social secretary for the team (although recruiters don’t generally need much encouragement to pop out with their work family)

What skills and attributes would you need to be successful in this role?

We are looking for a super organised, high energy individual with a ‘can do’ attitude. This role has the opportunity to grow as the company does so someone keen to pick up new skills and responsibilities along the way is preferred. Non negotiable criteria would be:

• Strong MS Word and Excel skills
• Excellent verbal and written communication
• Great banter ;)

Key Responsibilities:

• Oversee and ensure seamless daily operations across all store locations, aligning with the company’s mission and vision.
• Develop and implement strategies to expand into new sales channels, including B2B and B2B2C markets.
• Lead the formulation and execution of growth plans for the next 1-10 years, with a focus on achieving financial objectives and business goals.
• Establish team objectives, set policies, and manage annual budgets and expenses to drive efficiency and profitability.
• Foster a high-performance culture by mentoring and guiding employees, including front-of-house leadership, to enhance productivity and professional development.
• Collaborate with cross-functional teams to optimize merchandising, visual displays, sales performance, and pipeline management.
• Partner with the finance team to ensure effective cash flow management and sustained profitability.
• Drive regional expansion efforts, including the establishment and management of stores in Malaysia and Singapore.

Requirements:

• Proven experience in a similar operations management role, preferably in the office furniture or related industries.
• Strong expertise in managing and expanding both B2B and B2C sales channels, with a demonstrated ability to drive growth in these markets.
• Strategic planning and leadership skills, with a successful track record of achieving business expansion and operational efficiency.
• Excellent interpersonal and communication skills to collaborate effectively with cross-functional teams and external stakeholders.
• Flexibility to travel regionally, particularly between Singapore and Malaysia, to support operations and expansion efforts.
