Responsibilities:

Manage Daily Operations:

• To ensure timely and accurate order processing, facilitate communications within the organization and customer on orders related matters, maintaining records, and ensuring compliance with policies.
• Systematic handling of orders from inception to completion, including order creation, processing, fulfillment, delivery and liaise with finance to meet invoicing requirements.

Management of Equipment Orders:

• Handle customer PO /CAF receive from sales team, check and verify the details of the order.

• Send Sales Order Acknowledgement and or Proforma Invoice for advance payment or/ issuance of LC to customer.
• Work closely with factory on the order status and update customer.
• Regular team meetings with factories on order fulfillment, management of order related issues, etc.
• For LC orders, work with customer and factory on the LC requirements.
• Regularly monitor backlog orders to ensure everything is in place when due for shipping, e.g. advance payment is received, valid LC is in place, freight forwarder information for FCA shipment is available.
• Work with customer and logistics team of the respective factories to arrange the shipment and the requried shipping documents.

We are looking for a detail-oriented and proactive IT Operations Specialist to join our team. In this role, you will be responsible for managing and enhancing our IT infrastructure and applications. You will handle operational tasks ranging from deployment to security management, ensuring that our systems are efficient, secure and reliable.

Responsibilities includes but are not limited to:

1. Managing and executing operational tasks relating to IT infrastructure, systems and applications.

2. Performing deployment activities, including software installation, configuration changes and system updates/patches.

3. Ensuring the security and stability of IT systems by applying patches, security updates and conducting vulnerability assessments.

Requirements:

Job Description:

• Assist with recruitment activities across both office, e.g. shortlisting of candidates with hiring divisions, logistical arrangement and conduct of interviews, requesting for documents for candidates, engaging candidates for preliminary assessment, engaging hiring divisions on selection decisions etc
• Assist with liaising and managing manpower agencies in the hiring and contract renewal/expiry of temporary staff, billing verification and budget monitoring
• Timely update of information in HR databases and systems
• Assist with the digitisation of hardcopy personnel files under the “electronic P-file” management project
• Assist with sorting, scanning and filing of documents and creation of personnel files
• Assist with administrative and operations matters of other HR functions.
