Job Description

• Maintain accurate inventory records and update warehouse management systems.
• Process incoming and outgoing shipments, including preparing picklist and delivery order
• Coordinate with warehouse staff to ensure timely and accurate order fulfilment.
• Perform data entry tasks, including updating stock levels, order details, and inventory adjustments.
• Assist with inventory audits, stocktaking, and cycle counts.
• Assist Inventory Planner in raising purchase orders to suppliers
• Handle administrative tasks such as filing, document management, and correspondence.
• Support the Operations Manager and Inventory Planner in generating reports on inventory levels, order status, and other metrics.

Job Requirements

• Ability to multitask and work in a fast-paced environment.
• Excellent communication skills, both written and verbal.
• Strong organizational and time management skills with attention to detail.
• Proficient in Microsoft Office, especially Excel, and familiar with warehouse management software (e.g., SAP) is a must.
• At least 2 years of experience in a warehouse administration role or procurement role or similar environment.
• Diploma or Bachelor's degree in Business Administration, Supply Chain or a related field.
• Familiarity with warehouse processes is a must.

Responsibilities

• Support the Business in trade validation activities

• Ensure all trades are validated and booked correctly, liaise with the Business or clients for any discrepancies timely

• Ensure queries and escalations are managed in a timely manner

• Establish and maintain a strong working relationship with internal and external stakeholders

• Drives process improvement and system automation

• Drive new ways of working and behaviour across organisation to deliver faster, better, cost-efficient customer (internal and external service)

• Participate / Support in projects, business-driven initiatives and UAT

• Ensure compliance to Department and Bank’s operational risk and regulatory requirements.

• Continuous participation to “Growing the Team”: formalisation of team procedure, training, coaching colleagues, brainstorm ideas for any occasions, creating a fun environment among others)

Experience

• Degree holder preferred

• Minimum 2 years of relevant experience in derivatives processing and lifecycle management preferred

• Good understanding of Front to Back Trade operational processes especially Trade control activities is an advantage

• Exhibits good communication and interpersonal skills, flexibility and accountability

• Ability to work in a fast-paced environment with good time management

• Innovative mindset and constantly on the lookout to improve efficiency

• Proficient in Microsoft Office applications

Responsibilities:

• Conduct morning briefings and updates, and the delegation of duties to Team
  Leaders
• Provide budgetary updates to the Finance Department
• Oversee the timely preparation of monthly schedules, i.e. standby, night service
• Oversee and follow-up on the consolidation of feedback from the respective teams as well as families and clients, reviewing the feedback/ complaints received whenever necessary
• Oversee quality control matters pertaining to standards, rituals and customs
• Improve operational management systems, processes, and best practices
• Oversee the review of standard operating procedures (SOPs), forms, templates and lists to ensure operational efficiency in consultation with Team Leaders
• Plan and review compensation actions, enforcing policies and procedures.

• Manage order receipts efficiently, prioritizing timely order processing and good customer interactions and relationships.
• Ensures order processing is handled correct and in full. Raises issues in delivery and/or invoices process.
• Coordinate with internal department such as sales team and production team to ensure smooth service delivery.
