Scope of Work

Operational Management:

Oversee daily cleaning operations and ensure compliance with company standards.

Develop and implement cleaning schedules to maintain a clean and safe environment.

Ensure adherence to safety and hygiene protocols.

Project Management

Team Supervision:

Lead, train, and manage cleaning teams to ensure efficiency and quality of work.

Conduct regular performance evaluations and provide feedback for skill enhancement.

Client and Vendor Management:

Handle client relations to ensure satisfaction with cleaning services.

Evaluate and manage vendors, prepare /negotiate contracts, and ensure timely procurement of cleaning supplies and equipment.

Equipment and System Maintenance:

Oversee the maintenance and operation of cleaning equipment.

Ensure preventive measures are in place to avoid downtime.

Compliance and Reporting:

Ensure compliance with health, safety, and environmental regulations.

Prepare and submit operational reports and key performance metrics to management.

Job requirement

1. Diploma or equivalent

2. Experience: 8–10 years in Cleaning and facility management

3. Driving Licence : Class 3

4. Proficient in Microsoft Word, Excel and Powerpoint

JOB RESPONSIBILITIES:-

• Oversee daily clinic operations, including health screening and GP services
• Manage the front-of-house, including reception, patient check-ins, and customer service
• Ensure smooth and efficient patient flow, from registration to consultation and follow-ups
• Lead and support front-line and back-office staff, including receptionists and administrative personnel
• Oversee management of patient appointments, follow-ups, and record-keeping efficiently
• Address and resolve inquiries, complaints, disputes and issues with patients / external stakeholders with professionalism
• Liaise with external vendors, service providers, and healthcare professionals as needed
• Actively source and strategies to smoothen operational flows and enhance patient experience
• Work with external partners / clients / vendors (e.g. laboratory services) in ensuring accurate billing, and troubleshooting associated disputes
• Ensure proper filing and storage of medical forms, reports, and legal documents
• Maintain and monitor inventory, including medical supplies and clinic equipment
• Manage staff scheduling, assignments, and training to ensure optimal service levels
• Assist in billing processes, insurance claims, corporate invoicing, cash collection, control measures and other financial operations
• Regular checks and audits on claims submission e.g. PMI, CPF, Govt Agencies etc.
• Regular checks and audits on payment collections of credit card, cash, NETS and cheques from patients
• Ensure compliance with healthcare regulations, policies, and procedures
• Monitor clinic performance metrics and develop improvement plans when necessary
• Support management in identifying opportunities for process improvement
• Any other duties as may be assigned by Immediate Supervisor and/or the Management

Qualification & Experience:-

• Min Diploma and above
• Experience in managing outpatient clinic operations and/or experience in GP Setting
• Excellent interpersonal and communication skills
• Excellent organizational, multitasking, and leadership skills
• Proficient in clinic management software, Microsoft Office, and other digital tools
• Ability to work in a fast-paced environment while maintaining attention to detail
• Customer service-oriented with a passion for patient care
• Able to work effectively both independently and as part of a team
• Work Schedules: Mondays to Fridays: 0830hrs to 1730hrs or 0900hrs to 1800hrs (based on roster), Saturdays: 0830 hrs to 1230 hrs

Job duties:

· Able to work on Weekend/PH

· Able to follow company's schedule to carry out cleaning duties and supervision (multiple locations)

· Able to work outdoor and under sun

· Supervise, manage and control operations daily activities.

· Manage and handle client feedback and on-site incidents

· Monitor and ensure smooth running of daily manpower operations, arrange for replacement of staff as and when necessary

· Manage equipment and supplies inventory and replenishment as and when necessary

· Planning and ensuring orientation for all new staff and job sites

· Cleaning tasks such as drains clearing, dusting, mopping, sweeping, waxing floors and vacuuming

· Cleaning spills, broken glass and other messes up as quickly as possible

· Carry out heavy cleaning tasks and special projects when required.

· Execute, and manages the general cleaning process, monitoring cleaning logistics and supervising other cleaners

· Require hands-on with cleaners

· Perform and meet the cleanliness and hygiene standard in assigned areas and cover manpower whenever required (eg. staff on leave/MC/absent).



Requirements:

· Prior experience in operations in cleaning is highly preferred.

· Experience in cleaning will be an advantage.

· Committed and responsible team player with good personality.

· Diligent attitude and willing to learn.

· Self-driven, Independent and resourceful.

· Strongly oriented towards service level
