What is the Job all about?

The main purpose is to support the VP with calendar management, communication, and administrative tasks to ensure coordination of activities and different projects aimed at facilitating smooth functioning and collaboration within the CBS Division.

Your main responsibilities:

You will have the opportunity to enter a close collaboration with the VP & a team of administrative employees in CBS Division.

• Assist and advise in all matters related to developing the area effectively.
• Secure efficient planning and related hands-on work.
• Support with everything from scheduling meetings, practical details related to travel, event planning and different ad hoc tasks.
• Oversee team and external communications initiatives and handle special requests.
• Enter forums for planning and coordination across the organization.
• Collaborate with many different internal and external stakeholders and be a key employee in the Solutions & Marketing department. We always invest in your personal and professional growth as you navigate a globally diverse environment and work with many challenging tasks.

Your background:

• Bachelor’s degree in business administration or related field.
• Have at least 7 years of administrative experience and several years of demonstrated experience in planning, administration, and coordination in a large international organization.
• Are proficient in MS office, a strategic person, and willing to proactively experiment with generative AI as a work tool.
• Have advanced verbal and written communication skills, enabling productive interactions with a wide range of internal and external stakeholders.
• Have uncompromised ability to protect the confidentiality and privacy of sensitive information, company documents and records.
• Are located in Singapore.
• It would be advantageous if you have experience from another large, global company such as Grundfos.

JOB SUMMARY

• We are looking for an Executive Assistant to provide support to the Global Head of Group Resilience. This role will coordinate and manage business support, scheduling and preparation of materials. The dynamic nature of this role requires the ideal candidate to have exemplary time management skills and the ability to identify and anticipate the MT’s needs. The individual must interact seamlessly and professionally across a broad range of stakeholders including close collaboration with T&O MT EAs. To perform this job successfully, the individual is expected to handle sensitive and confidential information with professionalism and discretion.

RESPONSIBILITIES

Processes

• Effective and timely diary management
• Manage agendas, prepare materials and track action items for various meetings and committees
• Support on any events and initiatives as directed and required
• Co-ordinate with team to ensure the MTs receives appropriate and timely information, to more efficiently allocate their time to matters of importance.
• Assist in the preparation and collation of information for reports to various committees and senior management and other stakeholders.

People & Talent

• Handle HR matters: track leave records, year end and employee related issues
• Support the team to organise team engagement events, CSR activities and team meetings / conferences / workshops / offsite, when required
• Support the team with MyVoice, performance check-in related Impact Planning and execution / follow-up
• Provide support to deliver an effective engagement and communication framework for the team

Travel Management

• Arrange flights based on best travel timings and within the Travel Policy
• Review itineraries and ensure requisite pre reading / documentation are in place
• Arrange hotel accommodations
• Process travel visas, if required

Financial Performance

• Review T&E submissions on behalf of MT and ensure that expenses are in line with the T&E policy
• Review monthly cost report and ensure consistency of travel and expenses bookings

Risk Management

• Act quickly and decisively when any risk and/or control weakness becomes apparent and ensure they are addressed within an appropriate timeframe and, if necessary, escalated through the relevant forums.
