JOB DESCRIPTION

GENERAL SUMMARY

The Office Administrator is responsible for ensuring that the Firm’s lawyers in Singapore have the resources and support necessary to provide excellent service to clients. In collaboration with the Partner-In-Charge, the Office Administrator coordinates all support functions in the office and acts as a liaison with Firm Departments.

Administrative tasks include: providing oversight of support personnel, technology, facilities and office management, vendor management, financial reporting and analysis, budgeting, expense monitoring, billings & collections, accounts payable, internal and external audit responsibility, human resource policies and procedures, payroll and benefits (including statutory reporting), compliance with internal policies and external authorities (including the Ministry of Law, the Legal Services Regulatory Authority and the Ministry of Manpower), recruitment and onboarding, training support and coordination, records management, business development & communications.

The Office Administrator reports directly to the Partner-in-Charge , and receives guidance from the Director of Administration and various Firm Department Directors, to ensure compliance with Firmwide policies and goals, relevant government statutes and regulations.

In addition to general responsibilities described above, the Office Administrator works closely with the lawyers to meet evolving practice needs and budgetary goals for the office. The Office Administrator is expected to establish a positive and respectful work environment, mentor staff members in the performance of their duties, and foster an atmosphere of teamwork and continuous improvement. Above all, the Office Administrator must fulfill the needs of the office in a manner which is consistent with the Firm’s visions and values.

In conjunction with the Partner-in-Charge, develop short and long-term plans and goals for the office, for the local administrative staff and for himself/herself. EDUCATIONAL / JOB EXPERIENCE REQUIREMENTS:

As the NetSuite Administrator you are responsible for managing NetSuite and ensuring that NetSuite functionality is optimized to meet the evolving needs of the business and users are fully equipped with the training and knowledge to effectively work with the NetSuite environment. Key to success in this position is the ability to build partnerships within the business, understand their needs and drive continuous improvements.

• Develop, test and deploy customizations, third-party tools/applications and new NetSuite modules based on evolving business needs
• Perform functional configuration, system maintenance, and business process testing for ongoing NetSuite projects and improvements
• Maintain the NetSuite application and other related third-party business applications for internal users
• Active participation in UAT for system changes
• Work closely with business partners, internal stakeholders, and Finance Digital Transformation team

Requirements

• A minimum of 3-5 years experience with NetSuite ERP implementation, administration, configuration, and 3rd party integrations
• Experience in NetSuite OneWorld and Financial modules is a must (GL, Fixed Assets, Lease, AP/AR, Tax, Close management,...)
• Familiarity with NetSuite Roles and Permissions, Custom records, CSV imports, page layouts, workflows, saved searches, reports and dashboards
• Knowledge of scripting is a plus

Visitor management

Handle daily reception duties; -

• Greet and welcome guests, and visitors - direct them to the meeting room and inform the appropriate staff
• Serving of refreshments for clients and guests
• Answering of phone calls and responding to emails as necessary

Administrative Support

• Responsible for courier service, deliveries and mails
• Assist in meeting rooms bookings and set up, prepare refreshments when necessary
• Maintain and upkeep the front desk area, meeting rooms and pantry area to ensure areas are clean and tidy at all times by coordinating with cleaner
• Handles the maintenance of office equipment and keeps records of office inventory and pantry supplies to ensure sufficient stock at all times.
• Provide support for facilities maintenance and premises upkeep (e.g. Electrical, Aircon repairs etc.)
• Provide general administrative support to the company which includes data entry, filing and scanning of documents
• Maintains proper storage of files, ensuring that files are stored in a systematic manner allowing for easy access when required.
• Arrange printing of name cards, ordering of stationery and scheduling appointments
• Act as a point of contact for emergency issues and incident escalation for reception, administration and facility related matters
• Provide administrative and logistical support for the Management Team before and after an overseas business trip, including coordinating with other departments/overseas counterparts, and managing meeting schedules.
• Any other administrative tasks as directed by supervisors.

Working hours: 5 days work week, Monday to Friday, 9am - 6pm

Responsibilities:
